Scope of Position
A detail-oriented Sales and Marketing Coordinator to contribute to the achievement of sales and marketing targets by supporting the Sales and Marketing Manager and coordinating sales site inspections. Responsibilities include supporting the Sales and Marketing department with administration duties, coordinating with other departments, problem solving, handling administrative tasks, budget tracking, sales and client tracking, and assisting the Sales Manager with rate contracts and tracking thereof. Arranging extensive local and international travel for the department.
Sales and Marketing Coordination
- Help Sales and Marketing managers improve productivity by contacting customers to arrange site inspections and ensuring high-quality, up-to-date support material for Managers.
- Handle urgent calls, emails, and messages when the Director of Sales and Marketing is unavailable; answer customer queries, inform about delays, issue quotes, and schedule and assist with site inspections.
- Follow up on quotes and assist with conversion.
- Collaborate with other departments to ensure sales, marketing, queries, and events are handled efficiently.
- Develop and maintain online filing systems to maintain sales records, prepare reports, and provide financial information to the finance department.
- Prepare function sheets and coordinate pre-con and post-mortems of events.
- Make the company’s services attractive to potential customers.
- Ensure adherence to laws, regulations, and policies.
- Collaborate with External Marketing Consultants to align the Digital Strategy with marketing efforts and collateral for Pullman Hotel Cape Town City Centre Hotels.
- Coordinate digital media related queries.
- Manage TripAdvisor listings, Q&A, and respond to reviews.
- Innovate, implement, and drive ACCOR local campaigns and events.
- Manage the Pullman Hotel Cape Town City Centre website with External Marketing Consultants.
- Distribute approved contracted rates, with client follow-up and record/report keeping.
- Assist with any administration-related functions.
Operational duties
- Maintain thorough knowledge of room locations, types of rooms, package plans, and all hotel facilities.
- Conduct regular walk-throughs and site inspections to stay familiar with current operational standards; report concerns to the Sales Manager or Director of Sales and Marketing.
- Be available to assist with site inspections for potential clients.
- Be available during busy periods to oversee events, including weekends or late evenings.
Systems & Procedures
- Log and inform your Manager of any system problems; suggest improvements to existing systems and procedures.
- Follow policies and procedures outlined in the Accor Brand Standards Manual, Departmental Service Standards / Procedures Manual, and Accor Policy Manuals.
- Complete all duties and ensure concise handover.
- Train and familiarize yourself with all Accor Sales and Marketing-related training, especially mandatory trainings for your position.
Guest Service and Employee Relationships
- Always greet guests first and respond to reasonable tasks as assigned by superiors.
- Provide efficient, friendly, and professional service to all guests; anticipate needs and respond promptly.
- Lead by example in attending to guest requests and strive for Total Customer Satisfaction.
- Take initiative to ensure positive and productive interactions with customers (internal or external); escalate to the Manager on Duty if necessary.
- Work with trust to meet department/hotel goals; treat colleagues and customers with respect, sensitivity, and transparency.
- Actively promote sales of special promotions and hotel facilities; implement Accor values and customer vision.
- Maintain good relationships with colleagues and superiors; report any personnel issues that threaten team cohesion.
- Responsible for acquiring and maintaining corporate/travel trade/government/niche/mice/international clients with the Sales and Marketing Manager.
- Listen to client requirements, present appropriately to close sales, and negotiate terms.
- Cold call potential clients via telephone and email and arrange meetings for new business; regularly attend/host events for top clients and new clients.
Environmental and Social Responsibility
- Work with the hotel to participate in community-based projects where possible.
- Maintain awareness of new initiatives and the hotel’s social and economic programs.
- Participate in energy-saving and recycling initiatives; reduce waste and promote environmental practices.
- Participate in social development drives with local communities and hotel sustainability programs.
- Support the hotel’s food and beverage waste program and reduce unnecessary printing; promote recycling.
General and Other Duties

Qualifications
- 1–2 years of experience in a marketing or sales support role.
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Strong attention to detail.
- Proficiency in Microsoft Office (Excel, PowerPoint, Word).
- Ability to analyze data and draw actionable insights.
- Team-oriented with a proactive and adaptable approach.
