Purpose Of The Role

The Property Administrator is responsible for the comprehensive administration of the Commercial & Retail Property Portfolios. Key duties include tenant, broker, contractor, and landlord liaison; the preparation of Offers to Lease and Lease Agreements; accurate entry of lease details into MRI; processing owner payments; and updating MRI notes regarding vacancies, lease renewals, and agreement finalization status.

Job Duties
  • Tenant & Owner Relations: Serve as the first point of contact, resolving all queries (rental, utilities, accounts) and managing reconciliations within 24 hours.
  • Leasing & Vacancies: Handle the full leasing cycle, including credit checks, preparing offers and lease agreements, and managing tenant vacating and vacancy schedules.
  • Financial & Reporting: Execute monthly financial closings, run owner statements and management reports, process owner payments, and manage budget reforecasting.
  • Portfolio Administration: Oversee maintenance coordination, manage contractor work orders, ensure accurate data on the property management system (MRI), and assist with general administrative duties.
  • Compliance & Systems: Ensure all lease documentation and FICA compliance is complete, accurately capture all data in MRI, and manage annual file archiving and audit processes.
Minimum Requirements
  • Education & Certification: Grade 12 / Matric. Relevant qualification. Completion of the SAPOA Basic Property Programme will be beneficial.
  • Technical Proficiency: Proven computer literacy with advanced, hands-on experience in the MRI property management system. Strong numeracy and financial acumen.
  • Core Experience: Demonstrable (3-5 years minimum) property administration experience and qualifications.
  • Key Competencies: Exceptional written, verbal, and interpersonal communication skills. Highly organized with a customer-focused attitude and the ability to adapt to varying work demands and environments.
  • Client Service: A high degree of sensitivity to client and tenant needs.
  • Work Ethic: Willingness to work additional hours as required by business needs.
