Job summary

A well-established Automotive Dealership in Johannesburg is seeking an experienced Parts Administrator to manage the parts department. The successful candidate will ensure updated administration, handle daily financial balancing, and maintain accurate stock records. Responsibilities include capturing new parts invoices, tracking credit notes, and performing daily filing and banking. Candidates must have at least 3 years of vehicle parts admin experience at dealership level. Strong administrative skills are essential for this role.

Qualifications

  • Experience in updating stock and financial administration.
  • Ability to balance parts books accurately and timely.

Responsibilities

  • Ensuring updated administration of the parts department.
  • Checking and balancing daily money received.
  • Capturing and updating new parts invoices daily.
  • Following up on outstanding credit notes and stock orders.
  • Performing daily banking and filing.

Our client a well established Automotive Dealership is seeking the services of an experienced Parts Administrator.

Min Requirements
  • 3 + Years vehicleparts admin experience.
  • Experience must be at dealership level in the same role
  • Strong admin duties is essential
Purpose of Job
  • To ensure updated administration of the parts department.
  • This will be considered successful under the following conditions:
  • Stock and Financial administration is updated timeously.
  • The parts books are balanced accurately and timeously.
Main Job Functions
  • Check Monies received and balance daily.
  • Receive invoices for new parts by capturing and updating parts on the system- daily.
  • Receive invoices for stock orders by the capturing and updating of parts on the system.
  • Receive Credit notes and follow up outstanding items daily.
  • Update prices and parts supersessions Monthly.
  • Do the required reports and balance daily.
  • Follow up age analysis daily.
  • Issue, post and fax copies of invoices and statements to clients as necessary.
  • General Filing.
  • Daily banking.
  • Receiving of stock.
  • Ensuring all claims returns are returnable.
  • Ensuring all core charges are returnable.
  • All telephone calls put through to the Parts Department must be answered by any staff member that is not busy to assist the customer as soon as possible.
