Purpose of the Role

The purpose of this Operations Manager role is to successfully manage and oversee the day to day (including night shift) Distribution Centres millrun/shuttling operations.

Reporting: This position reports to the General Manager: Primary Logistics.

Responsibilities
  • Budget Control
  • Management of departmental expenses in line with budget.
  • Ensure timely payment of all invoices, avoiding carryovers to the next month for effective financial management.
  • Ensure all accruals are managed and submitted timeously to ensure costs are accounted for in the correct periods.
  • Coordinate various aspects, including insurance claims, traffic fines, and vehicle maintenance, to streamline operations and minimize disruptions.
  • Contribute to budget preparation for the business division by utilizing relevant data and analysis in the budget and resource planning process.
  • Exercise detailed cost control measures, covering expenses like general vehicle repairs, vehicle rotation, tires, fuel, licensing, breakdowns, accidents, insurance claims, and E-Toll account management.
  • Client Service
  • Ensure timely delivery within Service Level Agreements and uphold TFS network standards to align with service values.
  • Cultivate robust partnerships with internal and external stakeholders to enhance collaboration and mutual success.
  • Actively communicate with all internal stakeholders, ensuring all concerns are addressed timeously and proactively.
  • Oversee fleet management suppliers, establishing and maintaining relationships with third parties to ensure compliance and efficient fleet management.
  • Operations Management
  • Ensure day-to-day operations are effectively managed, including night shifts, to ensure smooth and on-time delivery of customer orders to the branch network.
  • Hold accountability for the effective management of the fleet, aiming for maximum availability of serviced and reliable vehicles for TFS operations.
  • Analyze fleet information to ensure optimal utilization of vehicles, providing regular reports to the business for informed decision-making.
  • Engage in short-term and long-term planning and scheduling operations, focusing on driver productivity, vehicle maintenance, query resolution, and adherence to SLA.
  • Provide guidance on all Milkrun operations matters to relevant stakeholders and partners, serving as a subject matter expert.
  • Identify opportunities to enhance operational efficiency, implementing best practices in fleet management to optimize resources.
  • Ensure adherence to all relevant regulations and policies, overseeing safety, 5S, maintenance, and operational procedures.
  • Regularly report on fleet performance metrics, providing insights into key areas of improvement and successes achieved.
  • Review and update operational Standard Operating Procedures (SOPs) to align with industry best practices.
  • Implement an efficient scheduling system to optimize workforce and driver resource utilization, promoting productivity and cost-effectiveness.
  • Maintain a clean, safe, and well-organized working environment by applying 5S principles in office spaces.
  • Ensure employees’ uniforms are ordered on time and coordinate the quality control of PPE to ensure safety compliance.
  • People Management
  • Manage personal development to enhance competencies for the current role and future leadership growth opportunities.
  • Plan and manage performance, skills development, and team motivation to foster a high-performance work culture.
  • Achieve efficiencies and increase competencies within the team to optimize overall performance.
  • Address employee issues or grievances promptly, fostering a positive and supportive work environment.
  • Ensure appropriate onboarding processes are implemented for all staff to facilitate a smooth integration into the organization.
  • Ensure adequate succession planning within the team.
  • SHE, Risk, Quality and 5S Duties
  • Maintain 5S standards, health and safety compliance, and timely reporting of issues.
  • Align with the Quality Management System and continually improve processes.
  • Follow transport/road safety regulations and standards.
Qualifications and Experience
  • Diploma in Logistics/Supply Chain or Business Management.
  • 4-5 years field experience in Supply Chain Management / Logistics Management.
