Operational & Admin AssistantLocation: Gauteng (on-site)

About the Role

This role provides direct, day-to-day support to the Chief Operating Officer and the broader operations team. You’ll blend executive administration with hands-on operational coordination and data reporting—building dashboards that turn activity into insight and helping the organisation run smoothly and predictably. What You’ll Do
  • Own the COO’s calendar, inbox, meetings, travel, agendas, minutes, and action follow-ups.
  • Maintain organised digital/physical filing and handle confidential information with discretion.
  • Coordinate workflows and SOPs across Logistics, IT, HR, Projects, and Finance to keep tasks on track.
  • Track compliance items and report on operational progress and bottlenecks.
  • Build and maintain dashboards and performance reports for operational and strategic decision-making.
  • Collect and analyse data from multiple teams; translate into clear insights and recommendations.
  • Create advanced Excel reports (pivot tables, formulas, macros, basic data models).
What You Bring
  • Senior Certificate (essential); a relevant diploma/degree is advantageous.

  • 3+ years’ experience in administration, operations, or business support.

  • Advanced Microsoft Excel skills plus solid proficiency in Word, PowerPoint, and Outlook.

  • Strong organisation, attention to detail, and written/verbal communication.

  • A proactive mindset and comfort working across multiple functions.

  • Valid transport for commuting; willing to use a fleet vehicle for work travel when required.

What Success Looks Like
  • The COO’s time is protected and focused on priorities; meetings run to plan with clear actions.

  • Core workflows and SOPs are documented, current, and consistently followed.

  • Dashboards provide a single source of truth; leadership sees trends and acts quickly.

  • Cross-functional tasks close on time with visible ownership and fewer escalations.

  • Compliance items are tracked and reported without last-minute fire drills.

  • Within 90 days, reporting cadence is established and operational gaps are reduced.
