The Legal Leasing Administrator (Retail) is responsible for managing, reviewing, and maintaining all retail lease agreements and related documentation. The role ensures legal compliance, accurate record-keeping, and effective coordination between landlords, tenants, and internal teams. This position supports the leasing process from contract drafting to execution, renewal, and termination, ensuring that all agreements protect the company’s legal and financial interests.
Key Responsibilities:
Lease Administration
- Draft, review, and process retail lease agreements, addendums, renewals, and terminations.
- Ensure lease documents comply with legal requirements, company policies, and regulatory standards.
- Maintain accurate records of all lease agreements in the company’s database or document management system.
- Track key lease dates (renewals, expirations, rent escalations, etc.) and notify stakeholders in advance.
Legal & Compliance Support
- Work closely with legal counsel to review and interpret lease clauses.
- Ensure compliance with property laws, retail leasing regulations, and company guidelines.
- Support dispute resolution related to lease obligations, landlord/tenant issues, and defaults.
Financial & Reporting
- Coordinate with the finance department to verify lease payments, deposits, and escalations.
- Prepare regular lease reports (lease status, expirations, rent schedules) for management.
- Assist in budgeting and forecasting lease-related expenses.
Stakeholder Coordination
- Act as the point of contact between landlords, tenants, property managers, and internal teams.
- Provide support during lease negotiations and ensure smooth documentation flow.
- Collaborate with retail operations teams to align leasing activities with business needs.
Job Requirements:
- Bachelor’s degree in Law, Real Estate, Business Administration, or related field.
- Experience in lease administration, legal administration, or property management (retail experience preferred).
- Strong knowledge of property/lease law and retail leasing regulations.
- Excellent organizational and attention-to-detail skills.
- Strong communication and negotiation skills.
- Detail-oriented with strong legal and compliance awareness.
- Ability to manage multiple leases and deadlines simultaneously.
- Strong interpersonal skills to liaise with landlords, tenants, and internal stakeholders.
- Proficiency in MS Office and lease management.
