LEASING ADMINISTRATOR (COMMERCIAL) - MILNERTON, Cape Town

We’re seeking a Commercial Leasing Administrator who brings structure, precision, and consistency to a fast-moving commercial property environment. This role is critical to keeping leasing processes accurate, compliant, and on track, supporting multiple stakeholders across a diverse portfolio.

You’ll be responsible for managing detailed documentation, tracking key leasing milestones, maintaining systems and reports, and ensuring nothing slips through the cracks. The role suits someone who naturally follows up, works methodically, and is comfortable juggling multiple priorities while maintaining a high standard of accuracy.

Job Description
  • Prepare and issue all lease documentation in line with client and portfolio requirements
  • Track lease expiries, send renewal notices, and follow up with tenants accordingly
  • Manage vacancies by updating and circulating vacancy schedules
  • Maintain and update broker contact and distribution lists
  • Support brokers with leasing-related information, including templates, plans, and access arrangements for vacant premises in coordination with building or centre management
  • Ensure compliance documentation is complete, including FICA records and credit checks
  • Conduct lease audits as required and maintain accurate lease and charge information on the property management system
  • Produce and distribute monthly leasing reports, including CRM and tenant diary updates
  • Request audited tenant turnover certificates when due and update tenant records accordingly
  • Capture and maintain monthly and annual tenant turnover information on the system
  • Attend monthly management meetings when required
  • Set up and maintain tenant files for new leases, ensuring all documentation is properly filed and uploaded
  • Distribute executed lease documentation to all relevant stakeholders, including landlords, tenants, and brokers
  • Compile lease commission schedules and submit them for landlord approval
  • Coordinate with the finance team to ensure approved commissions are paid timeously
  • Load new tenants and buildings onto the system and process tenant deposit refunds
  • Notify the meter reading service provider and management team of all tenant movements within required timeframes
  • Issue updated tenancy schedules to the meter reading service provider on the first working day of each month
  • Export required system reports and save updated versions in the designated building management report folder monthly
