About the Role

We’re hiring an Inventory Coordinator on a fixed-term maternity cover contract for 5 months, starting 1 February. This is a great role for someone who’s organised, hands‑on, and ready to build real operations experience in a fast‑growing, purpose‑led e-commerce business.

You’ll keep the heartbeat of our operation running smoothly, ensuring products are purchased, organised, packed, and delivered accurately and on time.

This isn’t just about counting items and boxes. You’ll work closely with our small team to improve systems, analyse sales trends, and spot opportunities to scale top‑selling products.

You don’t need a background as an inventory specialist, we care more about your approach than your CV. You might come from retail, hospitality, events, administration, customer service, or another operations‑heavy space. We’re looking for someone who thrives in a hands‑on, fast‑moving environment.

Key Responsibilities
Purchasing and Fulfilment

Word of Mouth currently employs a drop‑shipping model. We purchase, pick and pack all orders the day before delivery. As such, the Inventory Co‑ordinator would be responsible for

  • Printing shopping lists;
  • Updating the system with purchased items;
  • Packaging, barcoding and invoicing all orders for delivery;
  • Re‑ordering stationery and packaging related to fulfilment;
  • Completing quality assurance checks related to packaged orders;
  • Printing drivers lists and arranging orders according to drivers; and
  • Handing over orders to drivers and performing a QA check of orders against the delivery list.
Stock Management

We need to ensure we are constantly keeping our system up to date with accurate stock levels to prevent disappointments from customers due to stock‑outs. Although we currently employ a drop‑shipping model, we also hold stock based on the returns that we receive. As such, the Inventory Co‑ordinator would be responsible for:

  • Scanning in returns and re‑allocating them to the correct position;
  • Checking in drivers returns and reconciling returned inventory;
  • Scanning all products out for delivery;
  • Monitoring stock levels of products and highlighting when we are running low on
  • stock of top sellers;
  • Data analysis for buy‑ins of product; and
  • Performing cycle counts and monthly stock counts
Finance & General Administration
  • As part of your role, we will require you to do some financial and general administration tasks such as:
  • Office management - ordering stationery, managing general office queries;
  • Financial management - managing basic finance tasks such as petty cash, receipts, banking; and
  • Communicating with the internal team, partners and customers to answer queries on stock levels.
