Job Description
The Finance & Admin Team Leader plays a crucial role in handling both financial management and administrative functions to ensure smooth operations. This role oversees the finance department’s day‑to‑day operations and manages the administrative tasks of the company efficiently.
Key Responsibilities
- Manage budgets, oversee financial transactions, and supervise the finance and administration team.
- Lead the credit control process, ensuring debt is collected by the due date and escalating to client services as appropriate.
- Prepare weekly credit control reports, attend credit control meetings and report on the top overdue customers.
- Maintain the customer master file across all entities, ensuring accuracy and integrity of data.
- Generate monthly invoice upload files, post invoices accurately into the finance system and produce monthly insight files for operations and sales.
- Manage the customer query process, follow up with customers to resolve matters, and support various ad‑hoc finance activities as required.
- Oversee the daily operations of the accounting department, ensuring timely reporting of all monthly, quarterly and annual financial information.
- Coordinate and lead budget planning and forecasting, administer accounts payable and receivable, maintain accurate financial records and supervise payroll processing.
Administrative Duties
- Organize and oversee office operations, sales administration and procedures to ensure organizational effectiveness and efficiency.
- Establish and enforce administrative policies and procedures for all departments.
- Manage office space planning, maintenance and renovations when necessary.
- Oversee procurement of office supplies and negotiate terms with vendors.
- Handle escalated administrative matters and provide solutions.
- Provide leadership for the administrative staff, setting objectives, performance reviews and coaching.
Leadership Duties
- Manage and mentor the finance and administration team members, promoting professional growth.
- Work collaboratively with other team leaders to support overall company objectives.
- Develop and implement strategies for optimizing financial performance and administrative workflow.
- Foster a culture of transparency and accountability within the finance department.
- Participate in strategic planning and serve as a member of the management team.
Requirements
- Bachelor’s degree in Accounting, Finance, Business Administration or a related field (Master’s degree, CPA qualification highly advantageous).
- Proven experience as a finance officer or similar role, with thorough knowledge of accounting principles, procedures and legislation.
- Strong leadership and organizational skills.
- Excellent communication and interpersonal abilities.
- Proficiency in accounting software, Microsoft Office Suite and CRM.
- Analytical mindset with attention to detail and ability to manage time effectively.
- Drivers license and ability to commute to Pretoria, Gauteng.
Reports To
Chief Executive Officer (CEO) or other senior executive, depending on the organization’s structure.
