We’re looking for a highly organized, detail-oriented, and proactive Executive Personal Assistant to provide high-level support to our CEO. The ideal candidate will be an experienced professional who understands the fast-paced nature of a digital marketing environment and can anticipate needs, manage complex schedules, and ensure seamless coordination across departments.
You’ll serve as the right hand to the CEO — managing communications, handling confidential information, overseeing logistics, and supporting strategic initiatives. A strong background in digital marketing, excellent administrative and interpersonal skills, and the ability to multitask under pressure are essential.
This is a full-time, on-site role based at our Somerset West office.
Executive Support: Manage and prioritize the CEO’s calendar, emails, meetings, and travel arrangements with precision and confidentiality.
Administration: Oversee day-to-day administrative tasks, ensuring efficiency and accuracy in all documentation and correspondence.
Cross-Functional Coordination: Collaborate with various internal teams — from creative to development — to ensure effective communication and follow-through on projects.
Meeting Preparation: Prepare agendas, reports, and presentation materials for internal and client meetings.
Brand and Agency Awareness: Stay informed about current clients, campaigns, and brand activities within the agency to support informed decision-making.
Confidentiality: Handle sensitive business information and personnel matters with utmost discretion.
Technology & Systems: Manage digital tools, spreadsheets, and dashboards to track key tasks, meetings, and deliverables.
Logistics Management: Coordinate travel, off-site meetings, and event participation, ensuring all logistics are handled smoothly.
Professional Representation: Serve as the first point of contact for the CEO, maintaining a polished and professional demeanor in all interactions.
Minimum 5 years of experience as an Executive Assistant or Personal Assistant at an executive level within a digital marketing, creative, or agency environment.
Strong understanding of branding and marketing dynamics.
Athletic or active lifestyle — familiarity with sports culture is a plus, as we partner with several sports and lifestyle brands.
Highly organized, detail-oriented, and adaptable to changing priorities.
Proven ability to manage complex schedules, logistics, and cross-departmental communication.
Proficient in Microsoft Excel, Word, and Google Workspace; strong admin and document management skills.
Tech-savvy and comfortable learning and managing digital tools and platforms.
Excellent verbal and written communication skills.
Demonstrated ability to handle confidential information with integrity and discretion.
Must reside in Somerset West or surrounding areas (e.g., Strand, Gordon’s Bay, Stellenbosch).
