Executive Assistant to the CEO

Parity Homes - Remote (Full-Time, Salaried). Partner with the CEO to Execute High-Impact Projects and Strategic Priorities. Parity Homes is seeking a full-time Executive Assistant to the CEO to oversee and coordinate high-priority operational and strategic initiatives across departments.

We're looking for an organized, tech-savvy, and proactive professional with a proven track record in virtual project management. The ideal candidate is comfortable managing multiple priorities, aligning stakeholders, tracking progress toward goals, and ensuring successful execution of cross-functional projects. This role is ideal for someone who thrives in a remote environment, communicates effectively, and takes ownership of moving teams from ideas to outcomes.

About The Role

The Executive Assistant to the CEO serves as the operational backbone of Parity's strategic projects and organizational systems. You will build project timelines, track deliverables, manage cross-team communication, and ensure nothing falls through the cracks. The right person is detail-oriented, solutions-focused, and energized by helping teams turn vision into execution.

Key Responsibilities
Cross-Team Coordination
  • Coordinate and document strategic meetings, identifying next steps and responsible parties.
  • Manage projects using ClickUp and maintain accountability across teams.
  • Track deliverables, dependencies, and timelines across multiple initiatives.
  • Proactively flag delays, identify solutions, and adjust schedules as needed.
  • Maintain a central project calendar to ensure visibility of all major deadlines.
Administrative Support
  • Maintain and optimize the CEO's calendar, prioritizing key meetings and deadlines.
  • Coordinate internal and external meetings across multiple time zones.
  • Send reminders, prepare meeting briefs, and manage scheduling conflicts.
  • Monitor and organize the executive's inbox, drafting and sending professional communications.
  • Filter and prioritize messages to keep focus on strategic initiatives.
Written and Internal Communications
  • Draft and edit polished, brand-aligned written content such as emails, newsletters, blog posts, and internal memos.
  • Create client-facing materials including announcements, templates, and onboarding documents.
  • Maintain SOPs, team handbooks, and process documentation.
Travel and Event Coordination
  • Plan and manage travel logistics, including flights, accommodations, and ground transportation.
  • Prepare detailed itineraries and oversee travel budgets.
  • Organize virtual or in-person events, conferences, and client meetings.
Systems and Process Management
  • Support implementation and optimization of communication and documentation tools.
  • Identify process improvements and lead automation initiatives.
  • Create internal reports and dashboards to track KPIs and organizational impact.
  • Support evaluation and reporting of grant deliverables and partner-funded projects.
Qualifications
  • Minimum 3 years of experience as an Executive Assistant supporting senior leadership or a CEO.
  • Background in mass communication, media, or content writing preferred.
  • At least 2 years of experience working remotely in the Eastern Time Zone.
  • Exceptional organizational, time management, and multitasking skills.
  • Excellent written and verbal communication abilities.
  • Proficiency with ClickUp, Microsoft Workspace, Zoom, and cloud-based file systems.
  • Strong initiative and independence in managing competing priorities.
  • Experience supporting virtual teams in a fully remote environment.
Role Information

  • Approximate 50-hour work week
  • Schedule: 9:00 AM – 5:00 PM EST
  • Compensation: $1,–$1, (salaried range, based on experience)
