Job Description

A busy entrepreneur is seeking a proactive, highly capable Virtual Executive Assistant & Property Manager to manage a hybrid role combining property management, executive and personal assistance, and project coordination. This is a part-time, independent contracting role requiring approximately 20 hours per week. The role is primarily remote, and candidates must be based in Cape Town with the ability to travel to Camps Bay for occasional ad-hoc in-person meetings.

The successful candidate will create time, structure, and momentum for the client, enabling her to focus on high-leverage work across her portfolio. This role is ideal for someone who thrives in dynamic, fluid environments, anticipates needs, and enjoys both operational excellence and strategic coordination.

Responsibilities
  • Property & Household Management
    • Oversee day-to-day property operations, maintenance, and improvement projects.
    • Coordinate vendors and contractors — compare quotes, schedule work, and ensure timely completion.
    • Supervise housekeeping, manage household supplies, and anticipate ongoing maintenance needs.
    • Assist with home décor updates, sourcing furniture or accessories, and coordinating installations.
  • Executive & Project Support
    • Track and manage personal and professional projects, deadlines, and priorities.
    • Maintain a visual dashboard linking tasks, owners, and timelines, with a concise weekly summary for the client.
    • Support scheduling, follow-ups, receipts, simple budgets, and small events or workshops.
    • Translate ideas into actionable plans and ensure projects move forward efficiently.
  • Personal Assistance & Lifestyle Support
    • Handle errands, deliveries, and administrative tasks (e.g., municipal payments, PostNet shipping, vet visits).
    • Maintain personal and household trackers to keep systems organized and efficient.
    • Liaise with service providers and household contacts professionally.
  • Systems & Process Support
    • Help set up simple systems and trackers to keep projects, tasks, and household operations organized.
    • Use tech tools and AI to make recurring tasks easier and save time (e.g., research, scheduling, reminders, or basic reporting).
    • Suggest small improvements to workflows and processes to help everything run more smoothly.
Requirements
  • Based in Cape Town and willing to travel to Camps Bay for occasional ad-hoc in-person meetings.
  • Valid driver’s license and own vehicle (travel will be reimbursed at standard AA rates).
  • Background in operations, property management, project management, or executive assistance.
  • Experience as an EA or in operational leadership roles is preferred.
