Job Summary
We are seeking a professional and well-presented individual to serve as the first point of contact for our clients, visitors, and internal stakeholders. You will juggle schedules, paperwork, and people while sustaining a smooth behind-the-scenes operation. Your role is key for our business flow, and we rely on your initiative and judgment.
Responsibilities and Duties
- Operational Execution: Handle general office tasks professionally (e.g., answering calls, organizing mail, maintaining office supplies); coordinate across teams for seamless day-to-day operations.
- Executive Support: Arrange appointments and meetings and travel arrangements, coordinating service providers and managing the executives\' calendars/diaries.
- Communication: Act as the first point of contact for internal and external engagements with professionalism and sound judgment.
- Mobility & Agility: Support team members with task handling and collaborate with different departments; be ready to move when the business moves—errands, events, site visits, last-minute bookings, etc.
- Administration: Prepare and proofread documents, handle correspondents with efficiency and discretion. Keep up-to-date records and create regular comprehensive reports for the management team.
Qualifications
We prefer a relevant diploma or degree, but a proven track record matters more. You’re a fixer, a doer, and a sharp operator who can juggle multiple tasks and make it look easy.
Skills and Competencies
- Strong interpersonal and communication skills.
- Proven experience supporting senior leaders or entrepreneurs in a fast-paced, dynamic setting.
- Relentless attention to detail; errors are not in your vocabulary.
- Fluent in English (written & spoken). Bonus points for fluency in other languages.
- Proven organizational skills and ability to plan ahead.
- Proficiency in Microsoft Office Suite; adaptable to Apple Mac environments and new platforms.
- Eagerness to learn, adapt, and be a self-starter and team player.
- Strong personal integrity, trustworthiness and discretion — non-negotiable.
- Ability to adapt to a young and agile working environment.
Requirements
- Mobility: A valid driver\'s license and ability to be frequently mobile.
