Overview

Position: Creative Marketing Assistant

Work Hours (Client): 4 hour overlap between 8a to 5p EST

Pay Range: $1300 - $1800 USD / month (varies based on skill set and experience level)

Location of Search: Eastern Europe, South Africa, Latin America

A boutique digital marketing agency that helps HVAC contractors grow through a combination of high-performance websites, paid advertising, local SEO, marketing automations, and conversion-focused campaigns.

We re lean fast-moving service-oriented and results-driven focused on creating scalable systems that help contractors dominate their local markets.

This is a support role designed to offload admin light design and website production work so the founder can stay focused on high-leverage activities.

The right person will have a mix of initiative attention to detail and digital aptitude / fluency across tools like WordPress Canva GoHighLevel AirTable and Google Workspace.

Duties and Responsibilities

Growth Potential

This role is designed as a support position to start but for the right person it has the potential to evolve into a Project Manager, Operations Lead, or other higher-level role within HVAC GrowthLab.

As the agency scales there will be opportunities to take on more ownership, lead projects, streamline systems, and contribute meaningfully to the company s long-term growth. We re looking for someone who wants to grow with the business, not just work for it.

Primary Responsibilities

This person will support agency operations across three key areas:

1. Administrative Support
  • Organize internal folders documents spreadsheets (Google Drive, Google Sheets, etc.)
  • Update project trackers and maintain SOPs / checklists
  • Assist with onboarding new clients: intake forms, account access, status updates
  • Perform basic data entry research and internal reporting tasks
  • Help with task delegation, follow-ups, and reminders
2. Design Support (Light)
  • Create simple assets using Canva (e.g. social graphics, PDFs, ad mockups, checklists, email headers)
  • Format and edit Google Sheets and Google Docs to make them client-facing
  • Repurpose content into visual assets or simple templates
3. Website Support (WordPress / Elementor)
  • Add or update pages in WordPress using Elementor (no custom dev required)
  • Format existing content into clean mobile-friendly layouts
  • Maintain consistency with brand templates and content hierarchy
  • Update metadata, images, alt text, and internal links (training will be provided)
Minimum Requirements

Language requirement: Excellent English Communication Skills

Education: Bachelor's Degree (ideally)

Experience: 2 years of related experience

Industry: HVAC industry (familiarity is nice to have)

Requirements
  • Solid working knowledge of WordPress and / or Elementor
  • Strong organizational and communication skills
  • Fluent in English with good writing / editing ability
  • Basic design skills (Canva or similar tools)
  • Quick learner with high attention to detail
  • Reliable and self-managing: can work with minimal supervision
  • Google Workspace experience
Nice-to-Haves
  • Experience with CRM or project management tools (specifically GoHighLevel, Zoho, ClickUp, AirTable)
  • Familiarity with email marketing, SEO basics, or agency workflows
  • Photo editing (formatting, repurposing, etc.)
Work Style / Expectations
  • Must be proactive, communicative, and detail-oriented
  • We operate async most of the time; this role should be able to function independently
  • Will receive clear documentation and training but is expected to take initiative
  • Ideal candidate is a systems thinker who can identify ways to improve processes over time
Additional Notes
  • This is not a pure design or developer role; it’s a hybrid support role for an agency operator juggling multiple tasks
  • Needs to be able to move fast, stay organized, and keep multiple workstreams running smoothly
  • Trust, speed, and precision matter more than experience on paper
