POSITION INFO

A well established law firm is urgently seeking a Conveyancing Secretary with 3–5 years’ experience. Experience within Investec-linked conveyancing matters will be highly advantageous; however, candidates with solid conveyancing experience will also be considered. The successful candidate will provide comprehensive secretarial and administrative support to the conveyancing department, ensuring the smooth handling of property transactions from instruction to registration.

Minimum Requirements
  • 3–5 years’ proven experience as a Conveyancing Secretary
  • Solid knowledge of conveyancing processes and documentation
  • Experience with Investec-related conveyancing (advantageous but not essential)
  • Proficiency in conveyancing systems (e.g. GhostConvey, Lexis Convey, or similar)
  • Strong typing and document preparation skills
  • High attention to detail and accuracy
  • Ability to work under pressure and meet strict deadlines
  • Excellent communication and organisational skills
Key Responsibilities / Duties
  • Managing full conveyancing files from opening to registration
  • Drafting and preparing conveyancing documents and correspondence
  • Liaising with clients, estate agents, banks, deeds offices, and municipalities
  • Requesting and following up on guarantees and FICA documentation
  • Preparing transfer, bond, and cancellation documents
  • Diary management and monitoring key deadlines
  • Lodgement and registration follow-ups with the Deeds Office
  • Handling telephone and email correspondence professionally
  • Maintaining accurate filing systems (manual and electronic)
  • Ensuring compliance with legal and regulatory requirements
