A consulting company, specialising in supply chain, logistics and business solutions is seeking a full-time, on-site Cold Chain Administrative Assistant on a 3 month fixed‑term contract, to provide comprehensive administrative support to the Cold Chain Division, ensuring accurate documentation, efficient workflow coordination, and timely communication. You'll play a key role in supporting technical teams by managing documentation, editing reports, maintaining filing systems, and assisting with quality reviews and client deliverables.
Key Responsibilities
- Typing, formatting, and editing technical documents and reports.
- Filing and scanning records, both electronic and hardcopy.
- Maintaining organised and accessible filing systems.
- Handling emergency requests and directing queries appropriately.
Documentation & Reporting
- Assist in preparing study checklists, mapping protocols, and annexures.
- Compile and edit reports for temperature mapping, validation, and qualification studies.
- Ensure all documentation is accurate, complete, and aligned with client and internal standards.
- Review compiled documents using QC checklists.
- Track and log quality issues for correction.
- Assist in ensuring all reports are reviewed and finalised within expected timelines.
Communication & Coordination
- Liaise with internal teams to track progress and resolve issues.
- Support client communication by preparing document packs and certificates.
- Maintain issue logs and ensure timely resolution.
Performance Indicators
- Accuracy and completeness of documentation.
- Timely delivery of reports.
- Quality of filing and record keeping.
- Responsiveness to teams needs.
- Contribution to continuous improvement initiatives.
Requirements
- Certificate or Diploma in Office Administration or Business Administration would be advantageous.
- 2+ years’ experience in an administrative or support role.
- Valid driver’s licence (preferred).
- Strong computer literacy (MS Office, Word, Excel, PowerPoint, email, and a good understanding of software).
- Proficiency in written and spoken English.
- Excellent document editing and formatting skills.
- Understanding of filing systems and document control.
- Basic data entry and general math skills.
- Attention to detail and accuracy.
- Oral and written comprehension.
