Executive Assistant / Chief of Staff Support

Location : Remote (Preference : South Africa, EST alignment) Hours : 8 : 00 AM – 5 : 00 PM EST Salary : $2, – $3, / month (depending on experience)

About the Role

Our client is seeking a highly skilled Executive Assistant / Chief of Staff Support to provide direct support to the CEO while also driving operational execution and project management across the business.

This hybrid role blends high-level strategic support with day-to-day administrative excellence.

You will manage critical functions such as executive communications, calendar management, and travel logistics, while also leading cross-functional initiatives, managing projects, and ensuring seamless business operations.

The ideal candidate is proactive, highly organized, and tech-savvy , with strong problem-solving skills and the ability to act as both a trusted advisor and a reliable operator.

Key Responsibilities
  • Manage CEO's inbox, calendar, scheduling, and travel arrangements. Prioritize communications, draft responses, and ensure timely follow-ups. Maintain confidentiality and discretion in all matters. Prepare briefing materials and ensure the CEO is fully prepared for meetings.
  • Lead and manage key projects, ensuring tasks are delivered on time and aligned with strategic objectives. Leverage project management systems (e.g., ) to track workflows and coordinate with team members. Identify operational gaps, propose solutions, and support implementation. Work closely with leadership to ensure initiatives are executed effectively. Use AI and digital tools (e.g., Claude, Perplexity, ChatGPT) to streamline research, reporting, and workflow efficiency.
Qualifications
  • Proven experience as an Executive Assistant, Chief of Staff, or Operations Manager supporting senior leadership.
  • Strong project management and organizational skills with the ability to manage multiple priorities.
  • Exceptional written and verbal communication skills in English, with a clear and professional accent.
  • High degree of discretion, judgment, and emotional intelligence.
  • Advanced proficiency in productivity tools (Google Suite, Microsoft Office, CRM / project management platforms).
  • Tech-savvy and comfortable learning new digital tools, including AI platforms.
  • Ability to work U.S. Eastern Time Zone hours (8am–5pm EST).
