Job description

A vacancy exists for an Admission Clerk based at Life Suikerbosrand Hospital, reporting to Admission Supervisor. The successful candidate will contribute towards the optimal functioning of the hospital patient services department through effective admission, administrative and customer/patient support. In addition, they will serve as a vital link between patients, practitioners and medical funders, facilitating clear communication and contributing to the delivery of high‑quality patient care.

Responsibilities
  • Professional patient reception
    • Greet and assist patients and visitors with professionalism and compassion.
    • Ensure patients are welcomed, directed, and announced appropriately.
    • Accurate patient admission processing.
  • Collect and verify patient information and documentation with precision.
    • Register patients for hospital services, ensuring all admission procedures are followed correctly.
    • Assist patients in completing admission data/information requirements.
    • Ensure accurate data capture.
  • Collaborate with medical staff and departments to facilitate smooth patient flow.
    • Monitor patient status in the waiting area and communicate updates to relevant personnel.
    • Administrative and document management.
  • Perform general administrative duties related to patient admissions.
    • Scan and upload documents (e.g., referral letters, ID, medical aid cards) into the system.
    • Book patients for special procedures and provide pre‑examination instructions.
    • Authorization and billing support.
  • Confirm authorizations for procedures where required.
    • Manage payments at reception and assist with billing of patient accounts, ensuring accuracy and compliance.
    • Communication and switchboard operations.
  • Answer telephone calls professionally, resolve queries, or direct them to appropriate parties.
    • Operate the switchboard in a relief capacity to ensure uninterrupted communication.
    • Compliance and confidentiality.
  • Maintain strict confidentiality of patient information in line with hospital policies and health regulations.
    • Ensure all data protection and privacy standards are upheld.
    • Risk and fraud prevention.
  • Ensure accuracy in admission processes to prevent errors and mitigate risks.
    • Adhere to fraud prevention protocols and maintain vigilance in financial transactions.
    • Infection control and hygiene.
  • Uphold principles of infection prevention and standard precautions.
    • Maintain a clean, safe, and hygienic reception environment.
    • Team collaboration and customer service.
  • Foster positive relationships between admission staff, patients, and hospital personnel.
    • Listen actively to patient concerns and complaints, addressing or escalating them appropriately.
Requirements
  • Grade 12
  • Knowledge of hospital patient services and admissions processes
  • Knowledge of hospital procedures and medical terminology will be an advantage
  • Knowledge and application of patient administration systems, policies and procedures
  • Computer literacy and proficiency in Microsoft Office (Excel, Word) is essential.
