Qualifications

A fast-growing skincare company is seeking an Administrator to assist with the accurate processing of customer orders, coordination of deliveries, and completion, printing, and filing of all related documentation. The role supports efficient order fulfilment while maintaining high standards of accuracy and customer service. In addition, the Administrator is responsible for reception duties, acting as the first point of contact for visitors and callers, and handling customer enquiries in a professional and welcoming manner. Monday - Thursday 8am - 4pm and Friday 8am -3pm

Responsibilities:

Order Processing & Administration
  • Assist with reviewing and processing incoming customer orders via phone, email, online platforms, stockists, and distribution channels
  • Book deliveries and create shipments using Shopify (Courier Guy) and Blueline for stockists, ensuring cost-effective courier selection
  • Process returns and exchanges when required
  • Generate waybills, labels, and reports and print to the correct printers (Toshiba / Epson)
  • Accurately file all documentation, including blue copies, reports, and write-offs, in line with company procedures
  • Assist with weekly stock takes
  • Double-check products pulled for invoicing accuracy
  • Refill shelves in the front office as required
Reception & Customer Service
  • Greet visitors and direct them to the appropriate person or department
  • Assist walk-in clients with product recommendations and order placement
  • Answer incoming phone calls, provide basic information, and redirect calls as needed
  • Manage the front desk to ensure it remains welcoming, clean, and organised
  • Handle incoming and outgoing deliveries and collections
Requirements
  • Previous experience in administration, order processing, or logistics (preferred)
  • Experience with Shopify, Sage, or similar systems (advantageous)
  • Basic computer literacy (email, document filing, printing)
  • Background in accounting or finance (beneficial but not essential)
  • Previous experience working within the beauty industry beneficial
