Job description

A fast-growing international organisation is seeking an Admin Assistant to provide administrative, operational, and office support to ensure the smooth functioning of a growing Somerset West office. (Part-Time | 3 Days per Week: Tuesday–Thursday)

Key Responsibilities
Office Administration & Operations
  • Manage cleaning services, office upkeep, plant care, coffee machine maintenance, alarm and lock-up procedures.
  • Oversee general office operations to ensure efficiency.
Procurement & Inventory Management
  • Purchase groceries, stationery, milk, coffee, utilities, and office consumables.
  • Maintain stock levels for IT equipment and office supplies.
Vendor, Landlord & Maintenance Coordination
  • Liaise with landlords, building management, contractors, vendors, and service providers for repairs, maintenance, and compliance requirements.
Courier, Deliveries & Guest Management
  • Handle courier shipments, incoming deliveries, and guest arrangements for onsite meetings.
Administrative & Finance Support
  • Process invoices and supplier documents.
  • Assist with VAT preparation, SARS audits, and basic financial administration.
  • Support HSSE reporting, risk assessments, and compliance documentation.
General & Ad Hoc Tasks
  • Manage office internet connectivity issues.
  • Assist with insurance updates and employment equity documentation.
  • Coordinate with Johannesburg and Miami offices on IT, infra, and operational requirements.
Qualifications
  • Grade 12 (Matric)
  • Diploma in Office Administration or equivalent
  • 3–5 years’ experience in an Admin/Office Support role
  • Strong communication and organisational skills
  • High attention to detail and ability to multitask
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
