About the Role:
We are looking for a highly organised and multilingual Administrative Secretary & Translator to support senior management. The ideal candidate must be proficient in Chinese, English, and have strong administrative and coordination skills. You will play a key role in facilitating high-level business communications, managing schedules, and supporting strategic decision-making.
Key Responsibilities:
- Responsible for front desk reception, visitor guidance, answering calls, and travel arrangements, maintaining the company’s external image.
- Coordinate meeting organization and schedule management (including room booking, material preparation, meeting minutes, and follow-up).
- Handle the company’s external affairs.
- Manage the application and renewal of company licenses and certificates.
- Be as a company secretary to file with ACRA on behalf of company.
- Assist in drafting and archiving internal documents (notices, contracts, reports, etc.) to ensure standardized documentation.
- Provide interpretation and translation (Chinese-English) services for business meetings, internal management meetings, as well as editing and translating written correspondence, emails, and tender documents.
- Diligently complete translation tasks for various documents and materials, ensuring high-quality output.
- Collaborate with the translation team, participate in internal training and knowledge-sharing sessions, and enhance professional translation skills.
- Provide oral and written translation (Chinese-English) for internal and external business communications, ensuring accuracy in terminology and data.
- Assist the Chairman in overseas visits and interviews when required.
- Handle confidential information with discretion and professionalism.
Requirements:

Education & Language Skills:
- Diploma or higher, preferably in business administration or other related business fields.
- Must be proficient in both spoken and written English and Chinese; proficiency in French is a plus.
Experience & Skills:
- Experience in translation, interpretation, administrative, executive assistance, or business support roles.
- Familiar with business etiquette and cross-cultural communication skills.
- Outgoing personality, strong sense of service, able to handle emergencies, detail-oriented and patient, capable of efficiently managing multitasking.
- Excellent organizational and multitasking abilities, with outstanding communication and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant office tools.
- Ability to work independently while collaborating in a team environment.
- Able to travel on short notice for international assignments, and adapt to a fast-paced, multicultural work environment.
- Strong sense of confidentiality.
