Job Responsibilities
Administrative Processes & Work
Manage administrative processes and work to meet the team’s objectives and needs, which includes the following work:
- To create & update blueprint courses in the Learning Management System (LMS).
- To check, do formatting, organise and track version records of course materials and/or guidelines and SOPs.
- To liaise with relevant stakeholders in reviewing, establishing and complying to established processes.
- To support the review and writing/ updating of guidelines, processes and SOPs related to systems and administration.
- To digitalise administrative works and processes (where appropriate).
- To communicate information and updates to stakeholders and attend to queries related to processes and systems.
- To prepare documents and liaise with vendors for procurements of products and services that support curriculum development and other division’s events/ initiatives.
- To complete templates to report on areas of responsibility (e.g. audit report, quality report, etc).
- To support the implementation of NIEC copyright management.
- To communicate and liaise with relevant internal and external stakeholders on matters related to field practice (FP) placement (e.g. deployment, payment processing, FP guidelines & requirements, FP placement & deferment, etc).
- To maintain a systematic record of data for FP placement.
- To perform FP placement for students in compliance with NIEC’s SOP
Management of NIEC Courses in other systems
Manage NIEC courses in other systems that are relevant to C&P’s work (e.g. SMS (Vitae) and SSG’s TPGateway). The work involves:
- To participate in briefing/ training and enhancement/ testing of other systems initiated by the system owner.
- To prepare and complete the documents to update NIEC courses in the systems.
Specific to SMS (Vitae)
- To set up and update the courses in SMS (Vitae).
- To liaise with relevant internal stakeholders to resolve issues and ensure smooth operations across Divisions.
Specific to SSG’s TPGateway (TPG)
Updating NIEC courses in the systems
- To liaise with relevant stakeholders to gather inputs and complete documents to apply/ renew/ update courses in systems.
- To prepare and submit course applications, renewals and edits.
- To communicate updates on NIEC courses in other systems to relevant stakeholders (e.g. approval of courses).
Systems for NIEC Courses
Set up and maintain courses in systems managed by C&P (Learning Management System/ Field Practice Matching System/ Plagiarism Checker Tool / Video Management System/ C&P Sharepoint) which will include the following from time to time:
- To manage settings, data, courses, materials/ resources andvaccess accounts in systems.
- To work with relevant divisions to review the use of systems and prepare renewal and procurement documents of systems.
- To work with vendors on setting up, maintenance and enhancement of systems.
- To communicate and reporting updates on systems to relevant stakeholders.
Other Tasks (as assigned by Reporting Officer/ Dean) according to divisional and organizational needs on an ad‑hoc basis
Job Requirements
- Bachelor's Degree in any discipline with at least 2 years of work experience in Administration (preferably in the Education & Training Environment) or
- Diploma in any discipline with at least 8 years of working experience in Administration (preferably in the Education & Training Environment)
- Has experience in managing the Learning Management System (LMS) and setting up of Student Management System (SMS) (advantageous)
- Proficient in Microsoft Office applications (especially Microsoft Excel).
- Meticulous, organised & analytical.
- Ability to manage processes & project timelines.
- Customer service-oriented.
- Possess good communication & interpersonal skills, including ability to communicate effectively in English, both written and spoken. Proficiency in an additional language is required for translation-related work. (advantageous)
- A good team player with a positive attitude, strong initiative, and problem‑solving skills.

Note: All new hires will be offered a two‑year contract in the first instance. Contract renewal and emplacement on permanent appointment will be subject to continuous good performance.
