We are looking for an experienced and meticulous Payroll Executive to manage end-to-end payroll processing and ensure compliance with statutory regulations for our clients. This role requires a strong grasp of local payroll laws, attention to detail, and the ability to deliver accurate payroll reports and payments on time. You will be the go-to person for payroll matters, including monthly processing, final settlements, statutory contributions, and client billing.
The ideal candidate will bring at least 5 years of hands-on payroll experience, strong analytical skills, and the ability to build positive client relationships. Familiarity with systems like Timesoft and HReasily is essential, as is the ability to manage confidential data with discretion. Key Responsibilities:
Ensure accurate and timely processing of payroll.
Processing full spectrum monthly payroll activities and statutory calculations and final calculations.
Monitoring payroll deadlines and ensure time timely delivery payroll reports and payment and statutory processing.
Prepare and submit Work Pass applications on behalf of clients.
Update the Work Pass expiry date records for all clients and send email to follow up for renewal cases.
Ensure compliance with the local regulatory reporting requirements and guidelines.
Maintain good relationship with clients.
Handling invoices/ billings on monthly basis. Send emails or call clients to follow up for those invoices that are outstanding.
Submit MOM monthly survey for clients.
Submit any Government Paid Leave claims / NS claims for clients.
Prepare Payroll and Work Pass engagement letter for new clients.
Help clients to apply for CPF Direct Debit arrangement, CPF CSN number, Auto Inclusion Scheme.
Unlock employee’s account for the Employee Self Service Portal. Help to apply leave or credit off in lieu, forfeit any leave bring forward, adjust any leave (if any) for clients.
Update the leave approval or generate any leave report as per instruction by clients (if any).
Compute the Prorated Leave entitlement for resigned staff and inform client accordingly.
Update our system for newly engaged clients or terminated clients.
Handle recruitment for clients and also need to post the advertisement and download resumes at MyCareersFuture portal and other job portal.
Any ad hoc tasks assigned by manager.
Requirements:
Possesses a Diploma and/or Degree in Human Resource Management /Finance /Accounting /Banking /Business Administration or its equivalent.
Minimum 5 years of experience in HR and payroll processing preferably in an outsourcing firm or a similar role.
Proficiency in written and spoken Chinese is required to liaise with Chinese-speaking clients and respond to correspondence in Chinese.
Experience with payroll software and systems such as Timesoft and HReasily.
Detail-oriented and meticulous, especially in payroll calculations and record-keeping.
Excellent organizational and time management skills as you are required to handle a multiple clients' HR and payroll matters.
Proficient in Microsoft Office.
Strong communication and interpersonal skills.
Ability to handle sensitive and confidential information.
Analytical and problem-solving skills to resolve payroll issues.
Ability to work independently and as part of a team.
Strong understanding of payroll and work pass laws and regulations.
Adaptability to changing payroll systems and procedures.
