Overview

Office Assistant vacancy in Medina, Saudi Arabia. Job Title: Office Assistant - English Speaking (Indian). As an Office Assistant, you will provide administrative support to the team in the Medina office and help ensure smooth day-to-day operations.

Responsibilities
  • Greet and assist visitors to the office, ensuring they feel welcome and comfortable
  • Answer and direct phone calls in a professional manner
  • Manage incoming and outgoing mail, including sorting, distributing, and organizing documents
  • Schedule appointments and maintain calendars for team members
  • Assist with travel arrangements and coordinate logistics for business trips
  • Maintain office supplies inventory by checking stock levels and ordering new supplies as needed
  • Keep track of expenses and prepare reports for reimbursement
  • Perform basic bookkeeping tasks, such as recording expenses and managing petty cash
  • Organize, file, scan, and make copies of documents as needed
  • Assist with planning company events or meetings as needed
Requirements
  • Proven experience as an office assistant or in a similar role
  • Fluency in English is required; knowledge of other languages is a plus
  • Strong communication skills, both written and verbal
  • Excellent organizational skills with the ability to prioritize tasks effectively
  • Proficient in Microsoft Office programs such as Word, Excel, PowerPoint, and Outlook
