JOB SUMMARY
The Senior Payroll Specialist is responsible for administering all aspects of US, Canadian, and other global payrolls potentially varying in cycles from weekly, semi-monthly, and monthly. This includes ensuring accurate and timely payroll, compliance with federal and state regulations, and maintaining detailed records. The payroll specialist must have a strong understanding of payroll systems, excellent attention to detail, and the ability to handle sensitive information with confidentiality. They will be responsible for creating and generating reports for distribution according to the payroll schedule and assist the payroll manager with coordinating the responsibilities of the payroll function through the formulation of problem-solving procedures.
RESPONSIBILITIES
- Review daily data between the HR and payroll systems, collaborating with HR to ensure data accuracy and resolve discrepancies.
- Have a solid understanding of state and local tax registration processes and manage tax-related notices from various agencies in a timely manner.
- Provide support with General Ledger (GL) reporting, including mapping payroll data to GL for accurate financial reporting.
- Ensure accuracy and timelines with data transfers to vendors or to payroll system.
- Summarize beneficial improvements and potential changes and make recommendations to the payroll manager. Once approved, oversee the implementation of these new ideas. This includes documenting the procedures, communication with associates and tracking results.
- Provide customer service to people for all payroll-related inquiries while communicating effectively with all levels of people.
- Audit records for accuracy and ensure adherence to company policies.
- Establish and maintain all court ordered deductions such as garnishments, child support, and tax levies for processing through a payroll processing system.
- Provide information to other areas by creating and generating specific reports, which compile data from both the time & attendance system and the payroll system.
- Ensure that all contractual agreements and/or company policies and procedures are followed.
- Requests payments for payroll funds after submission where applicable (wires).
- Process manual payment requests or off-cycle payrolls as required for one-off situations when necessary.
- Works alongside different departments and teams within the company contribute effectively, as needed.
- Ensure compliance with federal, state, and local payroll laws and best practices.
- Maintain accurate records to comply with jurisdictional requirements.
- Assist Payroll Manager and team members when needed.
EDUCATION
- High School Education or GED required.
EXPERIENCE
- 5+ years\' experience as a US multi-state payroll processing required.
- 1+ years\' experience with ADP Workforce Now required.
CERTIFICATES, LICENSES, REGISTRATIONS
- Fundamental Payroll Certification is preferred but not required if experience is met.

- Clear and concise verbal and written communication skills.
- Excellent time management skills required with strong attention to detail.
- Ability to interact with all levels of associates within the company.
- Requires Intermediate Excel experience; Vlookups, Pivot Tables, and formulas.
