Job Title: Sales Coordinator – Commercial Interiors (Remote)

Location: 100% Remote

Summary:

We are seeking a highly detail-oriented Sales Coordinator to join a dynamic commercial interiors team. This is a 100% remote position ideal for someone experienced in budget quotes, order entry, and project specification tools like ProjectSpec, Khameleon, or similar. The role requires meticulous attention to detail to ensure all specifications, orders, and budgets are accurate and aligned with project goals. The ideal candidate thrives in a fast-paced environment, keeping projects moving smoothly while maintaining strong communication with designers, account managers, and vendors.

Key Responsibilities:

Order & Budget Coordination

  • Prepare accurate budget quotes and purchase orders.
  • Confirm product specs, pricing, and quantities before submission.
  • Keep all order records, approvals, and budget updates current.

Project Documentation

  • Organize project files, including specs, contracts, POs, and change orders.
  • Communicate updates and revisions to designers, account managers, and vendors.
  • Double-check specifications and order details for accuracy.

Tools & Systems

  • Use ProjectSpec, Khameleon, or similar tools to manage specs, budgets, and orders.
  • Ensure all data is accurate and up to date across systems.
  • Coordinate with vendors and internal teams to confirm product details and order status.
  • Resolve discrepancies quickly to prevent delays.

Quality Assurance

  • Review designer specs and submittals for completeness.
  • Identify potential issues early and recommend solutions.
Qualifications:
  • 3–5 years in a Sales Coordinator, Project Coordination, or Administrative role within commercial interiors, office furniture, or A&D firms.
  • Strong experience with ProjectSpec, Khameleon, or similar order/specification tools.
  • Proven ability to manage budget quotes, order entry, and project specs accurately.
  • Exceptional attention to detail with strong organizational skills.
  • Excellent verbal and written communication skills to work with designers, vendors, and account managers.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and familiarity with project management tools.
  • Ability to manage multiple tasks, prioritize effectively, and meet deadlines in a fast-paced, remote environment.
