Mission of the Role

The objective of this position is to deliver the ProfitCoach Experience to clients through quality assurance reviews, client relationship and account management, and accurate, timely, and efficient full-service accounting. The role also maintains awareness of each client’s unique needs and profit-growing/stewardship opportunities.

Job Purpose

The Trust Accounting Specialist manages day-to-day trust accounting processes for property management companies with trust accounts. In addition to trust accounting expertise, the role requires strong written and verbal communication skills to support client interactions, internal collaboration, and process documentation.

Job Duties and Responsibilities
  • Own communications and client updates: inbox management, weekly update emails, and proactive client communication as needed
  • Notify the Account Executive of client dissatisfaction, unmet deadlines, or higher-level issues
  • Process accounting requests including vendor credits, fund transfers, receipts & deposits, tenant charges/deposits/credits, owner adjustments, and ownership changes
  • Handle owner cancellations, including transferring deposits to new ownership/management and lease-only payouts
  • HAP payments, late fees, eviction notices, NSF processing, and security deposits (including AppFolio flow and client-specific policies)
  • Accounts payable cycle: approve bills, post management fees, process vendor payments, and send physical check files to clients; manage stop payments as directed
  • Owner accounting: review/sending owner statements and disbursements
  • Banking: follow up on deposits, reconcile accounts, initiate transfers, enter corrective journal entries with AE approval, review issued checks past 90 days
  • Support other projects: negative/positive FDR review, assist with 1099s and AE-assigned projects, ad hoc reporting, review management fees for new move-ins, review fee settings on vacant properties, manage recurring JEs/bills
  • Administrative expectations: participate in SMART goal setting, attend weekly meetings, participate in company initiatives
Required Qualifications
  • Background in Accounting or understanding of basic accounting principles
  • Experience with Appfolio
  • Intermediate proficiency in Microsoft Excel and Google Sheets
  • Strong written communication
  • Excellent problem-solving skills
  • Detail-oriented
  • Able to learn new concepts with written and hands-on support
Preferred Qualifications
  • Experience with Google Suite products
  • Understanding of property management accounting (AppFolio, Rentvine)
Working Conditions
  • Remote work environment
  • Overlap with Mountain, Central, or Eastern Time required
  • Reliable internet and webcam required for virtual communication
