About the Role
We are seeking a results-driven and organized professional to manage our program operations.
As a key member of our team, you will be responsible for ensuring seamless delivery of every program component. The ideal candidate will have exceptional organizational skills, with proven ability to manage multiple concurrent projects.
They will be proficient in project management tools, remote communication management tools, and the Google Suite of products.
Key Responsibilities
- Manage day-to-day logistics for student onboarding and program delivery
- Coordinate between sales, marketing, customer service, and coaching teams
- Track completion of all curriculum modules and student progress
- Maintain program documentation and standard operating procedures
- Coordinate scheduling for group coaching calls, workshops, and events
Data Collection and Reporting
- Gather and organize data for strategic analysis
- Track student engagement metrics, completion rates, and satisfaction scores
- Maintain databases of student information, contractor performance, and program assets
- Create regular status reports showing project progress against timelines
- Compile feedback from students and coaches for program improvement
Quality Assurance and Process Management
- Ensure all program materials are delivered according to quality standards
- Conduct quality checks on curriculum content, coaching deliverables, and student communications
- Identify operational bottlenecks and flag issues to the Program Manager
- Maintain consistency across all program touchpoints
- Document processes and create checklists for recurring operational tasks
Contractor and Vendor Coordination
- Serve as day-to-day contact for external contractors (coaches, designers, developers)
- Ensure contractors deliver according to scope, timeline, and quality expectations
- Coordinate handoffs between different contractors and team members
- Track contractor deliverables and flag any delays or issues
- Maintain vendor relationships and ensure smooth collaboration
Required Skills and Qualifications
- 3+ years of project management or operations experience
- Exceptional organizational skills
- Proficiency in project management tools and remote communication management tools
- Proficiency in the Google Suite of products
- Strong written and verbal communication skills
- Experience coordinating remote teams and external contractors
- Detail-oriented with ability to maintain high standards under pressure
