A food production company located in Chihuahua, Mexico, is seeking a Plant Assistant to provide essential administrative support. This role involves managing purchase orders, invoicing, and coordinating logistics for plant visitors. The ideal candidate should have at least 2 years of administrative experience, proficiency in Microsoft Office, and be fluent in both English and Spanish. Under the direction and supervision of the Plant Manager, the Plant Assistant will provide direct support to the Functional Managers, Finance, HR Manager, and Process Manager, and will perform the role of Receptionist as a basic activity. Responsible for the timely and reliable monitoring of the purchasing process, receipt of goods, and invoicing process. Coordination of events such as business trips, reservations, transportation, meals, etc. for local employees and/or Company employees.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following.
  • Respond to requests for support from management and functional leaders.
  • Receive and review quotes to generate purchase orders and create approval processes in SharePoint.
  • Send purchase orders to suppliers.
  • Generate material receipts and deliver to users.
  • Receive and review invoices, update purchase order summaries.
  • Reconcile information with accounts payable.
  • Send payment receipts to suppliers and receive payment supplements.
  • Coordinate events and plant visits, transportation, and accommodation for plant visitors.
  • Supply office supplies.
  • Inventory PPE for visitors.
  • Responsible for understanding your role in food safety and quality, following good manufacturing practices, and reporting any potential food quality or safety issues.
QUALIFICATION REQUIREMENTS:
  • Bachelor's degree preferred but not required.
  • Minimum of 2 years' experience in all aspects of administrative support.
  • Experience in planning and managing activities.
  • Proven experience with Word, Excel, Outlook, and other Microsoft products.
  • Proven ability to be flexible and manage multiple priorities.
  • Diligence and accuracy.
  • Proven ability to meet deadlines.
  • Superior communication skills, both oral and written, in English and Spanish.
  • Ability to maintain confidentiality regarding the business and affairs of the people with whom you interact.
