Office Manager (Chiasso, Switzerland)

Location: Chiasso, Switzerland

Employment Type: Full-time Swiss employment contract

Ideal Candidate: Lives in the Milano–Como–Lecco area and can commute easily

Cross-border G-Permit: Will be arranged by the company for the selected candidate

About the Role

We are looking for a proactive and hands‑on Office Manager to take full ownership of transforming our current workspace into a functional, welcoming, and well‑organized office.

Currently, our office is unstructured: undefined spaces, equipment stored in bags, and missing basic amenities such as a coffee machine. We need someone who enjoys bringing order to chaos, is highly organized, and can create an office where people want to come to work.

This role blends office management, administrative tasks, basic HR/finance support, and executive assistance. You will be a key point of contact for the team, visitors, and vendors, keeping operations running smoothly.

Key Responsibilities

Office Setup & Management

  • Organize and structure the Chiasso office
  • Create clear office zones (workstations, meeting areas, lab, storage)
  • Set up a proper lab area (no more “lab in bags”)
  • Introduce and maintain office amenities (coffee machine, supplies, etc.)
  • Maintain a clean, orderly, and functional environment

Administrative, HR & Finance Support

  • Handle basic HR administrative tasks (documents, onboarding, employee support)
  • Assist with low‑level finance tasks (receipts, invoices, coordination with accounting)
  • Oversee procurement and maintain office stock
  • Manage vendor and supplier relationships

Team & Executive Support

  • Arrange travel, accommodations, and logistics for team members and visitors
  • Support internal meetings, events, and coordination
  • Provide light executive assistance (scheduling, meeting prep, simple documents)
Requirements
  • Based in the Milano–Como–Lecco region with the ability to commute to Chiasso
  • Eligible to work under a Swiss employment contract (G‑Permit support provided)
  • Proven experience in office management or administrative/operations roles
  • Strong organizational and problem‑solving skills
  • Ability to bring structure to an unorganized environment
  • Self‑starter who takes initiative and drives improvements
  • Excellent communication skills
  • Fluent in Italian and English; German is a plus
  • Proactive, reliable, and solution‑oriented
