A consulting firm is seeking a candidate to assist with logistics and administrative support for Chinese clients visiting Indonesia. Responsibilities include coordinating visits, supporting registration processes, and managing client relationships. The ideal candidate must be fluent in Chinese and possess strong communication skills in English, with a background in administration or customer service. Flexibility for travel is required.
Assist with logistics and arrangements for Chinese clients delegations visiting Indonesia (e.g., itinerary planning, translation, on-site support);
Coordinate with HQ to prepare pre-visit materials and confirm visit details;
Liaise with local institutions (industrial parks, accounting firms, company secretaries, banks, etc.) to arrange site visits.
Support clients in company registration, secretarial services, and bank account opening in Indonesia;
Track project progress and maintain effective communication with local service providers;
Handle daily operational tasks such as document collection, translation, and form filling.
Follow up on client feedback and coordinate solutions during project execution;
Assist HQ account managers with ongoing project tracking and documentation;
Regularly report client updates to HQ and support client satisfaction initiatives.
Assist with organizing, summarizing, and archiving project-related documents;
Prepare bilingual contracts, agreements, and service documents as needed;
Support daily administrative tasks and team coordination.
Fluency in Chinese is required, as it will be used as a working language. Ability to communicate in English; Bahasa Indonesia is a plus.
Bachelor’s degree or above; strong written and verbal communication skills in Chinese and English; proficiency in Bahasa Indonesia is a plus;
Minimum 2 years of experience in administration, customer service, or consulting roles preferred;
Familiarity with local business practices, government registration procedures, or banking processes in Indonesia is advantageous;
Detail-oriented, responsible, and skilled in cross-cultural communication and multitasking;
Strong service mindset, stress management ability, and team spirit;
Open to business travel and flexible working arrangements.
This role requires the candidate to have local connections or resources to recommend suitable industrial parks and facilities based on client needs. The candidate should also accompany and support clients during site visits, acting as a bridge between clients, industrial park representatives, and our internal team.
