Ward Clerk - Day Case Surgical Unit

The closing date is 28 January 2026

The post holder will be required to provide high quality clerical and administrative support as a member of the Theatre Admission Unit. You will act as first point of contact for all patients and service users putting patients at the heart of everything we do.

The role of the ward administration clerk is to assist in relieving the Nursing staff of as many non‑midwifery/non‑nursing duties as possible under the direct supervision of the Ward manager and Matron reporting to the Team Leader.

The post holder will be required to have good interpersonal skills, effective verbal and written communication skills, polite and courteous manner along with a professional attitude.

Main duties of the job

The overall activities of the post-holder will include:

To welcome patients and visitors to the ward in a friendly professional manner.

Maintain records regarding admission/discharges/ ward attenders/ appointments, on Clinical IT systems.

Book patient appointments and keep track of unit log books for different clinical tasks.

Ensure all appropriate documentation is complete and filed correctly.

Ensure that all notes are tracked to the relevant department. Arranging for urgent collection and delivery as required.

To administer entry to database and validation corrections.

Ensure all data collected re‑entered in a timely manner, checking accuracy and details at all times for allocated specialities.

Communicate effectively and coordinate within the disciplinary team.

Participate in a weekly meetings and take minutes, also highlighting any issues encountered.

Maintain patient trac logs by updating audits regularly.

Open and distribute mail as appropriate.

Deal with Estates and make request for maintenance and repairs and follow up requests.

Order stationary and maintain relevant stock levels.

Ensure the safe keeping of Patients property in line with Trust policy.

Deal with Pharmacy requests forms and specimens to respective departments.
