Purpose of the job

The role of the Technical Coordinator is to support the Technical Office with the day‑to‑day management of new and running productions, both in the UK and abroad. We are looking for someone who has strong organisational and administrative skills, excellent budget management skills, and an understanding of union contracts, including SOLT Equity and BECTU agreements. The successful candidate will have come from a similar role or have worked in a producing theatre environment, alongside experience in people management, and a passion and good working understanding of commercial theatre, allowing them to successfully support the Technical Department in the setup and running of our West End, UK & Touring, and International Productions.

Key Responsibilities
Production Administration
  • Work with the Production Managers to coordinate all technical aspects and details of new and running productions.
  • Keep a comprehensive watch over the entire production to ensure that all key dates are met, all departments work together, and no details are lost during busy production periods.
  • In conjunction with the Production Managers, act as a liaison between the Creative Teams, Associates, Supervisors, external Freelance Staff and the Technical & Production Departments as needed.
  • Attend load ins, production periods, cast changes and put ins as required.
  • In conjunction with the Production Managers, coordinate the ordering and logistics of show equipment and suppliers as required, including liaising with external suppliers.
  • Work closely with the Production Department on any areas that overlap between the Production and Technical departments, including supporting the administration of schedules across our productions to ensure that they are regularly reviewed and kept up to date (e.g. rehearsal, maintenance, cast changes and education performances).
  • Liaise and work closely with the Company Managers and Production Managers on the day‑to‑day running of the shows including any issues that may arise, either with technical elements of the production or staffing.
  • Attend weekly catch‑up meetings with the Production Manager, Company Manager, Production Department and provide updates as necessary.
  • In conjunction with the Production Managers book rehearsal spaces and equipment for cast changes and other external rehearsals.
  • Assist the Production Managers with the timely and effective communication of technical information to both internal and external partners (e.g. touring technical riders, schedules).
  • In conjunction with the Production Managers, support the technical staffing and requirements for one‑off events (e.g. West End Live), cast changes, put ins and notes, including the booking of Associates and Freelance staff.
  • Oversee shipments and logistics of the technical elements of our productions, including the creation of relevant customs and shipping paperwork (e.g manifests, carnets), in conjunction with the Production Managers.
  • Book travel and accommodation for Technical Staff, Associates, Supervisors and others, as required, and coordinate any other staffing logistics of UK tour moves.
  • Arrange all production meetings, distribute schedules and plans and take and distribute minutes. To ensure all technical issues raised are actioned.
Production Finance
  • Review, reconcile and code weekly financial paperwork including payroll, petty cash, and invoices in conjunction with the Production Managers.
