Job Overview
This Staff Accountant role is a vital support position within their financial and administrative engine. You will be responsible for core accounting functions, payroll coordination, benefits tracking, invoicing, and maintaining essential records. You will work directly with the CEO, a successful entrepreneur and Kellogg MBA with a strong track record in scaling businesses.

Responsibilities
Financial Operations
- Manage daily bookkeeping and assist with monthly reconciliations in QuickBooks.
- Support the generation of timely and accurate financial reports for leadership.
- Track, categorize, and monitor business expenses across departments.
- Create and distribute invoices to clients; respond to basic billing inquiries.
- Assist in gathering data for cash flow planning and financial analysis.
Payroll & Benefits Support
- Review and verify caregiver and staff timesheets for accuracy.
- Coordinate payroll data submission with our payroll provider.
- Track PTO accrual and usage for staff and caregivers.
- Assist with benefit enrollment tracking and ensure deduction accuracy.
Compliance & Administrative Support
- Track and collect necessary annual forms for caregivers and staff.
- Upload and manage new hire information in internal systems.
- Assist in running and monitoring background checks.
- Help maintain up-to-date and audit-ready personnel and compliance records.
Insurance Billing Assistance
- File and manage long-term care insurance claims on behalf of clients.
- Communicate with insurance companies to support timely reimbursements.
Process Improvement & Data Management
- Provide support for operational and financial data compilation.
- Participate in projects related to data organization and process documentation.
- Help refine financial data entry systems to support scale.
Qualifications, Skills and Key Competencies
- 3–5+ years of experience in accounting, bookkeeping, or operational finance support.
- Advanced proficiency in QuickBooks and Microsoft Excel (including formulas, basic lookups, pivot tables, and reconciliations).
- Exceptional written and verbal English communication skills — must be able to draft professional correspondence, respond to internal inquiries, and clearly document financial processes.
- Outstanding attention to detail, organizational skills, and follow-through.
- Ability to manage multiple workflows independently and meet deadlines.
- High level of personal integrity, accountability, and discretion when handling sensitive information.
- Comfortable in a fast-paced, entrepreneurial environment with evolving priorities.
- Proven ability to proactively identify inefficiencies and suggest improvements.
