Location: Warrington (office based, 5 days per week)

The Role
As a Project Coordinator, youll play a key role in supporting the successful delivery of our HVAC projects. Youll be the link between the Head of Projects, engineers, service team and clients, ensuring that procurement, schedules, documentation and communication all run smoothly and to a high standard.
This is a demanding role that requires organisation, initiative and attention to detail. Its ideal for someone who thrives in a supportive but hands on role, enjoys problem solving and wants to grow within a business that is scaling rapidly.
Your Responsibilities
- Project support and coordination
- Support the delivery of HVAC projects from handover to completion
- Schedule and confirm site visits, installations, and commissioning
- Prepare job packs, RAMS, permits and compliance documentation
- Monitor project progress, flag risks or delays and support resolution
- Maintain accurate, well organised records and project files
- Procurement and logistics
- Raise purchase orders and track material deliveries
- Liaise with suppliers, subcontractors, engineers and clients to coordinate logistics
- Ensure all procurement is aligned with project schedules and budgets
- Documentation and compliance
- Ensure consistent use of handover and pre-start checklists
- Track and file compliance documentation including commissioning certs and O&M content
- Support invoice prep, variation tracking and cost reporting
- Communication and reporting
- Maintain regular updates with internal teams and clients
- Proactively support Project Managers to drive momentum and resolve blockers
- Assist in weekly reporting and operational updates to the Head of Projects
Experience
What were looking for:
- Experience in HVAC, construction, M&E, or technical project delivery environments
- Previous experience in a Coordination, Planning or Admin role
- Comfortable working in a growing, fast-paced business
Knowledge And Skills
- Proficient in Excel, Google Sheets, and project management tools
- Familiarity with systems such as JobLogic, SimPRO or similar (preferred but not essential)
- Understanding of health & safety and compliance documentation (e.g RAMS, permits, commissioning certs)
- Strong communication and organisation skills
- Tech savvy with Excel, Google Sheets and job management tools
- Ability to manage multiple tasks simultaneously and work to lead times and deadlines
