Project Administrator

As a Project Administrator, you will play a vital supporting role in delivering construction projects successfully, working closely with project managers, site teams, subcontractors, and clients. Based in the office, you will manage project documentation, communication, schedules, and administrative processes to ensure projects run smoothly, efficiently, and in line with contractual obligations.

Key Responsibilities:

  • Support the project management team in planning, coordinating, and tracking construction projects from pre-construction to completion.
  • Maintain and update project documentation, including drawings, specifications, RFIs, submittals, and schedules.
  • Coordinate with site teams and subcontractors to ensure timely delivery of materials, information, and resources.
  • Monitor project progress, manage files, and produce regular reports on status, risks, and deadlines.
  • Attend project meetings, record minutes, and follow up on action points.
  • Liaise with clients, consultants, and suppliers to ensure clear and effective communication.
  • Ensure compliance with internal procedures, contract requirements, and industry regulations.
  • Support procurement activities, including issuing purchase orders and tracking deliveries.
  • Assist with handover documentation, O&M manuals, and project close-out processes.
  • Perform general administrative duties, including document control, filing, data entry, and correspondence.

Required Skills & Experience:

  • Previous experience in project coordination or administration, preferably within construction.
  • Strong organisational and multitasking skills with excellent attention to detail.
  • Proficient in MS Office (Word, Excel, Outlook, Project).
  • Excellent communication and interpersonal abilities.
  • Ability to perform under pressure and meet deadlines.
  • Familiarity with construction terminology, documentation, and project lifecycles.
