Job Overview

To provide confidential secretarial support to the specialist clinical teams and operational & strategic management group within the PACCT services. Carry out duties as defined by the PACCT Support Manager and clinical leads to meet the needs of the wider service. To manage and prioritise own workload, following departmental standard operating procedures and referring any issues to the Team lead for advice. The ability to speak Welsh is desirable; Welsh and/or English speakers are equally welcome to apply.

Main duties
  • Audio/copy/digital dictation – G2 speech report; typing of correspondence, clinic letters and discharge summaries accurately within time limits set by departmental standards. Requires excellent keyboard skills, knowledge of medical terminology and secretarial procedures. Audio/copy and digital dictation for other correspondence as required; letters may relate to all aspects of medicine and may include distressing content.
  • Support the PACCT clinic co-ordinator with booking appointments in a timely manner and ensure all patient queries are dealt with professionally and sympathetically.
  • Assist with general administrative duties to support cross-area working within the department, travelling between sites as necessary.
  • Provide secretarial support to consultants and general support throughout the department, including support to specialist nurses as required.

Qualifications And Knowledge

Essential criteria

  • Knowledge of secretarial/administrative procedures and systems, including non-routine tasks, problem solving and progress chasing – usually through Vocational Level 3 or equivalent experience
  • Audio Typing
  • Keyboard skills to RSA II or equivalent
  • Basic knowledge of medical terminology
  • Computer literacy with good understanding of software programmes

Desirable criteria

  • RSA III or equivalent
  • Knowledge of Health Board policies and procedures
Experience

Essential criteria

  • Experience of working in a secretarial or administrative post

Desirable criteria

  • NHS experience
  • Experience of working as a Medical Support Secretary

  • Possess excellent communication/telephone skills
  • Ability to work with staff at all levels
  • Effective organisational and time management skills, able to cope with pressure during busy periods
