Job description

We are a fast-growing and dynamic organization seeking an organized, proactive, and professional Personal Assistant / Office Assistant to support our leadership team. Our company thrives in a fast-paced environment, and we are looking for someone who is adaptable, detail-oriented, & has experience managing office operations while providing excellent administrative support. This role will be based in our Canary Wharf office in London with frequent travel to our office in Dubai, UAE.

Key Responsibilities
  • Provide executive and administrative support to senior leadership, including managing calendars, scheduling meetings, and organizing travel arrangements (domestic and international).
  • Maintain office organization, ensuring smooth day-to-day operations, including office supplies, equipment, and managing office events.
  • Handle correspondence, emails, and phone calls promptly & professionally.
  • Assist in preparing reports, presentations, & other documentation as required.
  • Assist with HR-related tasks, such as coordinating interviews, onboarding, and maintaining employee records.
  • Support in the management of business expenses, invoices, & travel budgets.
  • Liaise with other departments and external partners to facilitate business operations.
  • Perform other duties as assigned by leadership to ensure effective office management.
Requirements
  • Proven experience as a Personal Assistant, Office Assistant, or similar administrative role.
  • Fluent in English, both written & verbal.
  • Knowledge of office management systems & procedures.
  • Strong organizational & multitasking skills.
  • Ability to handle confidential information with discretion & professionalism.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent communication & interpersonal skills.
  • Ability to work well independently & as part of a team.
  • Must be willing to travel frequently between London & Dubai.
  • Valid passport with the ability to travel internationally without restrictions.
Desirable Qualifications
  • Experience in a fast-paced or corporate environment.
  • Knowledge of office accounting software or basic finance skills.
  • Familiarity with travel management tools & platforms.
