Job description

DrPA has been operating in secure environments since 2014 providing General Practitioner services and we are now growing to provide a complete healthcare service at Oakhill STC by NHS England. This will be delivered directly or through a range of specialist partners who are experts in their field.

Join a new service at Campsfield House focused on providing a high quality service to the residents. As an administrator, you will be providing a range of administrative support to the healthcare department.

The duties will vary depending on the needs of the department with the day’s priorities agreed with the Head of Healthcare and Senior Clinical Lead. This may be processing patient referrals, making appointments, answering the phone, updating our clinical system (Systm1), preparing for or taking notes at a meeting, ordering supplies, filing, photocopying, the list goes on!

Main duties of the job
  • Make patient appointments ensuring the clinic list is correct and the patient is advised of their appointment.
  • Process referrals to local hospitals or services and follow up to ensure the referral has been received and is being processed.
  • Update S1 patient records (e.g., scan documents to the correct record and ensure they are appropriately coded – training provided).
  • Update and maintain databases (optician, dentist, and admissions).
  • Arrange meetings – invite attendees, type up the agenda and prepare any documents, take minutes and actions (with training).
  • Provide day‑to‑day administrative support to the head of healthcare and senior clinical lead as required (e.g., photocopying, booking rooms).
  • Archive, send and receive written notes where necessary.
  • Make up books for nursing staff (e.g., shift planner, tick sheets).
  • Place orders with suppliers to ensure stock levels are adequately maintained.
  • Answer the phone politely and friendly, ensuring any messages or agreed actions are completed.
  • Support visitors and contractors – book gate passes where required, and efficiently collect and escort them to the healthcare department from/to reception and other departments within the site, as required.

  • Excellent time management skills with ability to meet deadlines.
  • Track record of delivering consistently accurate and high‑quality work.
