Client Services Administrator

Location: Billericay

Salary: Competitive

Contract Type: Permanent

Hours & Shift Patterns:
  • Winter season (October–April): Shift rotation covering 6am–3pm, 7:30am–4:30pm, 10am–7pm. Includes weekend working and public holidays (rota basis, with time off in lieu).

  • Off-season (May–September): Monday–Friday, 8am–5pm, no weekend work.

Are you an organised, detail-oriented professional with a passion for delivering outstanding client service? At Ground Control, we’re looking for a proactive Client Services Administrator to join our team. In this dynamic role, you’ll work closely with Key Account Managers, Contract Managers, Finance, and clients to ensure seamless communication and the efficient management of tenders, quotes, purchase orders, and invoices.

Supporting multiple client accounts, you’ll thrive in a high-volume, varied environment where no two days are the same. From managing seasonal workflows and maintaining client portals to processing tenders and quotes, your contribution will be vital in keeping operations running smoothly and ensuring clients receive an accurate, timely, and professional service.

Key Responsibilities:
  • Tenders: Manage and log tenders, coordinating with the relevant Contract Managers to ensure smooth processing. Communicate with clients to keep them informed and engaged throughout the process.

  • Quotes: Review, check, and edit quotes for accuracy, compliance with company standards, and timely delivery to clients. Maintain an organised system for all quote uploads.

  • Purchase Orders: Ensure purchase orders (POs) are updated accurately. Conduct thorough checks for compliance, and support client communications regarding updates and changes.

  • Extra Works: Oversee and complete the Extra Works checklist, ensuring compliance with internal standards. Provide accurate documentation to the Finance team and maintain up-to-date records.

  • Client Portals: Regularly update client portals with essential documents, track activity, and ensure all client information is accessible and accurate. Address and escalatie issues as necessary.

  • Technical Skills: Proficient in Microsoft Office Suite, including Excel, Power BI, and MS Teams.
