Job Description:
The International Potato Center (CIP) is seeking a dedicated and motivated Finance and Administration Analyst for our hosted organization, CIFOR-ICRAF in the region.
About CIFOR-ICRAF: More than a research institute—it is a hub of the brightest minds working together to develop nature-based solutions for forested and tree-based landscapes. We collaborate with governments, academia, civil society, and the private sector to address five major global challenges: deforestation and biodiversity loss, the climate crisis, the transformation of unsustainable food systems, unsustainable value and supply chains, and extreme inequality.
About the role: The selected candidate will provide administrative and operational support to CIFOR and ICRAF operations in Latin America, including payments to suppliers, purchasing, logistics coordination of trips and field activities, and supporting daily office tasks.
Key responsibilities:
- Support the finance and administration manager in delivering monthly financial reports, including system entry of cash management, impress returns, consultancy contracts, staff requisitions, and other financial reports.
- Coordinate with CIP HR to prepare local consultancy contracts and follow up on schedules and payments.
- Prepare international consultancy recruitment forms and coordinate with relevant teams to ensure funds are available.
- Coordinate with CIFOR-ICRAF IT to create corporate email accounts for new staff and assign electronic devices.
- Oversee office equipment and publication inventory; ensure timely requisition of supplies; monitor equipment use.
- Provide logistical and administrative support to staff, visiting scientists, and consultants, including managing calendars, meetings, events, and travel support.
- Assist with travel requests, event organization, and communication management.
- Maintain regional contact databases and prepare internal/external communications.
- Manage incoming communications and follow up on pending tasks.
- Ensure compliance with health and safety policies.
Requirements:
- Bachelor’s degree in business administration, economics, accounting, or related field.
- Minimum 2 years of professional experience, especially in international organizations or NGOs.
- Knowledge of ERP-Unit 4 Business World – Agresso System (desirable).
- Strong organizational, planning, and multitasking skills.
- Excellent communication skills in English (verbal and written).
- Proficiency in Word, Outlook, Excel, PowerPoint.
- Ability to work proactively and in a multicultural environment.
