Job Description
Reporting to the Managing Director ROW (Rest of the World), you will provide a broad range of office functions and secretarial support to the Managing Director ROW and the Managing Director Eastern Europe.
Responsibilities include but are not limited to:
- Managing and coordinating complex calendars and organizing meetings and appointments for regional managing directors.
- Organizing meetings, including preparing reports, minutes, and follow-up actions.
- Preparing presentation documents for working committees.
- Organizing and collecting essential information for updates as needed.
- Organizing seminars, events, and conferences locally and internationally.
- Monitoring various transversal projects.
- Organizing travel arrangements (transport, accommodation, schedules).
- Acting as the liaison for all visitors from other Believe entities worldwide.
- Developing and preparing external communication projects (social media, LinkedIn) and supporting participation in music industry events.
- Writing notes, reports, summaries, and other documentation to support business activities.
- Building visuals and designing presentations using standard tools if needed.
- Supporting access to internal tools and resources within the back-office system.
Qualifications:
- Minimum 5 years of relevant experience as an Executive Assistant.
- Fluent in English; Russian language skills are appreciated.
- Ability to maintain high accuracy in preparing and entering information.
- Excellent written and verbal communication skills.
- Proficient in multitasking and project management.
- Skilled in Microsoft Office products (Word, Excel, PowerPoint, etc.).
- Excellent stress and time management skills.
- Ability to maintain confidentiality.
- Team player with good interpersonal skills.
- Meticulous, organized, proactive, and detail-oriented.
