Position Summary

The Administrative Assistant will ensure the efficient day-to-day operation of the Single Room Occupancy building’s administrative office and support the work of management, maintenance, and security.

Principal Responsibilities
  • Oversee daily operations as assigned by the Residence Director.
  • Provide administrative/clerical assistance to building management staff.
  • Maintain resident files according to DHS/HRA/HPD regulations.
  • Process maintenance work orders and prepare reports as assigned.
  • Manage rent collection and tenants in arrears.
  • Assist with collection of resident documents for re-certifications.
  • Prepare reports as required by DHS/HRA/HPD and regulators.
  • Prepare notices to residents.
  • Coordinate schedules for building management, desk clerks, and contracted security.
  • Maintain office supply inventory; manage procurement documentation and purchase authorizations.
  • Ensure staff complete timesheets and submit vacation requests to manager.
  • Manage on-site vendors.
  • Manage Coordinated Assessment Placement system as required by DHS/HRA/HPD.
  • Vacancy Control – schedule interviews; process move ins and move outs.
  • Ensure compliance with all city, state, federal, and funder regulations.
  • Additional responsibilities as assigned.

Skill and Education
  • High School Diploma (required).
  • Post secondary education in Business, Computers, or Office Management (preferred).

  • Proficiency in Microsoft Office Suite.
  • Bilingual – English/Russian (preferred).
  • Experience with DHS/HRA/HPD, CAPS and Salesforce (preferred).
Compensation

$20 – $22 per hour.
