Operations Manager
Madrid

We’re seeking an Operations Manager to oversee and optimize our operational functions, aligning Talent Acquisition efforts with production demands.

Working Hours: Mondays - Fridays, 6AM-3PM CET, 1PM-10PM Asia/Manila, 11PM-8AM CST

Key Responsibilities
  1. Drive Operational Excellence: Streamline processes to improve service quality, delivery speed, and customer satisfaction.
  2. Build Scalable Systems: Design and implement systems and SOPs to support growth from 100+ to 1000+ active customers.
  3. Integrate AI & Automation: Identify and implement AI tools and workflows to eliminate inefficiencies and boost productivity.
  4. Team Management & Culture: Lead and coach remote teams across multiple time zones, fostering a high-performance, transparent culture.
  5. Resource Allocation & Capacity Planning: Optimize team allocation and workflows across design, development, and project management.
  6. Quality Assurance Oversight: Define performance metrics with QA leads to ensure consistent quality across platforms like Webflow, WordPress, Shopify, etc.
  7. Process Documentation: Maintain comprehensive documentation of processes, SOPs, and best practices.
  8. Support Strategic Initiatives: Collaborate with the CEO to execute growth strategies, improve churn, and leverage AI-human synergy.
Must-Haves
  • 5+ years in operations, preferably in tech-enabled or subscription-based services.
  • Proven success in scaling operations in high-growth remote environments.
  • Strong understanding of AI, automation, and creative/tech workflows.
  • Exceptional organizational and process-building skills.
  • Experience managing distributed teams across time zones.
  • Problem-solving and systems-thinking mindset.
  • Excellent communication and leadership skills.
  • Ownership mentality and bias for action.
  • Alignment with core values: growth, relationships, ownership, wow experiences.
  • Experience with SaaS or agency models.
  • Familiarity with design/development workflows (Webflow, WP, Figma, etc.).
Bonus Points
  • Experience hiring and leading global teams.
  • Familiarity with tools like Notion, ClickUp, Make/Zapier, Slack, HubSpot, or AI tools like ChatGPT.
