Position Overview:

We are seeking an experienced and detail-oriented HR Specialist to join our team in Madrid. This role involves supporting the HR department with a variety of administrative, operational, and strategic functions. The ideal candidate will excel at organizational tasks, demonstrate a high level of confidentiality, and possess the ability to collaborate effectively with diverse teams.

Key Responsibilities:
Talent Acquisition & Recruitment:
  • Manage the end-to-end recruitment process across Europe, including job description creation, candidate sourcing, interviews (phone and office), and reference checks.
  • Partner with hiring managers to ensure a seamless offer and onboarding process.
  • Maintain and update the Applicant Tracking System (ATS).
Payroll and Documentation Management:
  • Oversee payroll documentation, including processing sick leave notes, exemptions, and other related paperwork.
Onboarding and Offboarding:
  • Support new hire onboarding and manage exit processes for departing employees.
Systems & Reporting:
  • Maintain and update employee databases, ensuring data accuracy.
  • Assist management with the preparation of HR-related reports and analytics.
Compensation & Benefits:
  • Administer statutory, mandatory, and additional benefits for employees in Europe.
  • Handle benefit renewals, monthly or yearly reporting, invoice control, and cost comparisons.
  • Liaise with benefit vendors and brokers to ensure efficient benefit management.
Compliance & Regulations:
  • Ensure compliance with local, state, and federal employment regulations.
  • Support managers in the development of compliant job descriptions.
Employee Relations & Development:
  • Assist in resolving employee relations issues by training and supporting managers.
  • Contribute to the development of training programs, ensuring employees understand their roles and responsibilities.
  • Support performance evaluations, career development initiatives, and training programs.
Additional Administrative Tasks:
  • Provide support for ad hoc administrative duties and special HR projects as needed.
Required Skills and Qualifications:
  • Education: Bachelor’s degree in a relevant field.
  • Experience: Minimum of 3 years in an HR or administrative role, preferably in a multinational environment.
  • Language Proficiency: Advanced written and spoken Spanish and English (C1/B2).
  • Technical Skills: Proficiency in HR software and reporting tools, with strong computer skills.
  • Attention to Detail: Highly organized with the ability to multitask and prioritize effectively in a fast-paced environment.
  • Communication: Strong interpersonal, verbal, and written communication skills.
  • Regulatory Knowledge: Familiarity with employment law and contract interpretation.
  • Problem-Solving: Ability to work independently and continuously improve HR processes.
