General Description of the Role

In the role of Office & Fleet Manager, you will be responsible for the smooth operation of our office environment and the management of our company fleet in Germany. In addition, you will dedicate approximately 20% of your time to supporting the Managing Director and their direct reports with high-level administrative and organisational tasks. This hybrid role requires a proactive, service-oriented individual with excellent organisational skills and discretion.

Key Responsibilities
  • Ensure the efficient day-to-day running of the office, including facility management, supplies, and vendor coordination
  • Manage the company fleet, including vehicle procurement, maintenance scheduling, insurance, and compliance with relevant regulations
  • Act as the first point of contact for all office and fleet-related matters, liaising with internal departments and external service providers
  • Support the Managing Director and their direct reports with calendar management, travel arrangements, expense reporting, and meeting coordination
  • Assist in the preparation of presentations, reports, and internal communications
  • Coordinate internal events and support the organisation of leadership offsites and workshops
  • Maintain confidentiality and handle sensitive information with discretion
Education / Professional Qualifications

You have completed vocational training or hold a degree in office management, business administration, or a related field, or have equivalent professional experience.

Skills
  • Minimum 3–5 years of experience in office management, fleet coordination, and/or executive assistance
  • Strong organisational and multitasking skills with a hands-on mentality
  • Excellent communication skills and a service-oriented mindset
  • High level of discretion, reliability, and attention to detail
  • Proficiency in MS Office (Outlook, Word, Excel, PowerPoint)
  • Business fluency in German and English
