Our Marketing department is the creative engine of our brand. We're a dynamic, fast-paced team seeking a highly organized and proactive individual to serve as the central support hub for our leadership and as the driving force behind our events program. As aManagement Assistant, you will be the right hand to our Marketing leadership, ensuring their days run smoothly and the department's administrative needs are met with precision. As ourEvent Management lead, you will take ownership of our company events (internal meetings and conventions, international executive meetings, meetings with external stakeholders and partners, etc.). You will be responsible for planning, executing, and analyzing events that build our team, brand, and drive results.

Management & Administrative Support
  • Provide high-level administrative support to the Marketing Director and the department, including complex calendar management, scheduling, and travel coordination.
  • Prepare materials for key meetings, including agendas, coordinating presentations (PowerPoint/Google Slides), and reports.
  • Attend team meetings, capture detailed minutes, and track action items to ensure project deadlines are met.
  • Assist with budget management, process invoices, and other administrative tasks and reports for the marketing team.
  • Act as a key liaison between the Marketing department and other internal/external stakeholders.
  • Support keeping track of departmental projects, updating files, coordinating communication, etc.
  • Handle confidential information with the utmost discretion.
Event Management
  • Support in planning, coordinating, and executing company events from concept to completion (e.g., trade shows, conferences, webinars, customer workshops, internal events).
  • Manage all event logistics, including venue sourcing, vendor negotiation (A/V, catering, rentals), and contract management.
  • Develop and manage event budgets to ensure all events are delivered on time and within budget.
  • Manage event registration systems, attendee communications, and on-site check-in.
  • Oversee on-site event execution, acting as the main point of contact to troubleshoot and ensure a seamless experience for all attendees.
Required Qualifications
  • Experience: 3+ years of experience in a fast-paced administrative role, such as Management Assistant, Executive Assistant, or Marketing Coordinator.
  • Event Expertise: Demonstrable, hands-on experience planning and managing a variety of corporate events (both virtual and in-person).
  • Tech-Savvy: Expert proficiency in the Microsoft Office Suite (Outlook, PowerPoint, Excel, Word) and/or Google Workspace.
  • Organization: Exceptional organizational and time-management skills. You are a master of multitasking and can prioritize ruthlessly.
  • Communication: Flawless written and verbal communication skills. You can interact professionally with executives, vendors, and clients.
  • Attitude: A proactive, self-starting, and solution-oriented mindset. You don't wait to be told what to do.
  • Detail-Oriented: A keen eye for detail is non-negotiable.
