Job Description
Position Purpose Summary
Volunteer Coordinator – the volunteer coordinator plans, directs, monitors, coordinates volunteers for multiple programs within the Chilliwack ministry unit.
Accountabilities
The incumbent may perform all, some, or similar duties to the listed below:
- Basic understanding of tenets of Christianity and willingness to accept and support The Mission Statement of The Salvation Army.
- Operates with the approved budget for financial control and ensures optimum utilization of resources.
- Manage community volunteers which includes, orientation, training, evaluating, and scheduling.
- Monitor the performance of all volunteers to ensure high quality services are provided to our clients and other departments.
- Matches volunteer’s skills with work/activity needed within the facilities.
- Develops volunteer assignment descriptions and keeps them up to date.
- Prepares reports of volunteer activity and maintains files related to volunteers.
- Maintains statistical records for the Salvation Army Management Information System.
- Develops, reviews and revises volunteer handbook to keep it current and relevant.
- Maintains regular contact with volunteers in person, by phone, email and/or by letter
- Initiates and coordinates appropriate recognition of volunteers and assists with special events and outings.
- Ensure that background checks, driver’s abstracts are up to date.
- Participates in the development of the department budget, operates within the approved budget for financial control, and ensures optimum utilization of resources
- Participate in Annual Performance Appraisals as required
- Be prepared to attend relevant workshops and training opportunities
- Perform other duties as assigned.

MU’s leadership and staff, donors, volunteers.
External:
Funders, Volunteers and the general public
Managerial Responsibility
- Reports directly to the community Ministries Director
- Direct reports: none
- Periodically may act as a team lead - provides supervision and ensures adherence to quality standards for volunteers or temporary staff for special events/activities
- Provide input into hiring, recruiting, job-related training, and supervising volunteers
Financial and Materials Management
- Responsible for minor financial matters regularly; responsibility for wise use of own resources and authorized to spend and disburse small amounts through the use of a corporate charge card.
- Minor material responsibilities.

Working Conditions
- 37.5 hours per week. Some work over weekends and evenings may be required.
- Ability to lift up to 20 lbs.
The employee will work under the following disagreeable conditions:
- Dealing with angry people
- Verbally abusive people
- Frequent interruptions and multitasking
- Temperature variations (ie front door opening and closing)
- Equipment and general office noise
The employee may be exposed to the risk of minor to moderate injury or illnesses due to:
- Physical attacks by others
- Exposure to infectious diseases
- Exposure to toxic chemicals

Education, Experience, and Qualifications
- Willingness to develop an understanding and support for the mission and purpose of The Salvation Army in Canada and its implications as related to position responsibilities.
- Work in compliance with OH&S Act and Regulations and abide by The Salvation Army’s health and safety policies and procedures.
- Ability to provide an original copy of a Background Check that is satisfactory to The Salvation Army, in its sole discretion, is required, including Child Check (if appropriate).
- Awareness and compliance with Chilliwack Policies & Procedures.
Education, Qualifications and Certifications
- Must have completed up to two years of community college
- Certificate in Volunteer administration an asset
Experience and Knowledge
- Must have more than one year but less than three years of prior related experience in a wide range of social service programs, supervising people and resources, and communicating orally and in writing with government officials and/or funders
- Knowledge of Better Impact Software an asset.
Skills and Capabilities
- Demonstrated commitment to ongoing learning and professional development to stay informed about community engagement trends and the organization’s mission and objectives
- Intermediate to advanced proficiency in Microsoft Office suite and editing software
- Excellent oral and written communication skills, including strong conflict-resolution skills
- Proven ability to communicate and work effectively with a diverse population of staff, volunteers, and clients
- Strong administrative, time-management, and organization skills
- Current Driver’s License with driver’s abstract
- Must be a self-motivated multi-tasker who is able to work independently and as part of a team.
- Supervision skills with a strong emphasis on relationships and team building.
- Ability to relate to and engage marginalized people with a positive outcome perspective while remaining non-judgmental.
- Willingness to work with individuals of differing backgrounds and cultures than your own.
- Must be agreeable to a flexible work schedule and be willing to work long hours including Saturday and in emergency situations.
- Must have more than basic computer knowledge and word processing skills.
- Must be people oriented and possess strong leadership, organizational, judgment skills and public relations skills.
- Attention to detail, problem solving and analytical skills
- Strong sense of integrity and confidentiality with professional ethics and a balanced sense of fairness and flexibility
Compensation
The target hiring range for this position is $42,577.53 to $53,221.91 with a maximum of $63,866.29. Placement in the salary range will be based on factors such as market conditions, internal equity, and candidate experience, skills, and qualifications relevant to the role.
