Are you an experienced Scheduler with a heart for senior care? At Plan A Toronto, we are seeking energetic, experienced and knowledgeable Schedulers to join our team. As a Scheduler, you are responsible for ensuring the assigned schedules are at full compliment thus ensuring optimal resident care. Reporting to the Office Manager in the Home, you will be posting and assigning shifts to ensure a complete staffing strategy for the home. This includes managing call-ins, and time-off requests from employees to ensure staffing aligns with operational needs. What You Will Bring!
- Ability to understand and interpret collective agreements in a unionized environment.
- Lead the overall staffing success strategies.
- Perform clerical duties associated with all scheduling tasks which includes tracking, documentation, and other forms.
- Communicate current scheduling information to all Managers, Charge RNs and ensure the flow of information is consistent and effective.
- Manage telephone calls to the home.
- Responsible for completing the call-in processes to replace shift vacancies, in accordance with the relevant local Collective Agreement and/or policies and procedures.
- Schedule orientation shifts.
- Input changes to the staff schedules daily and present them to DOC for approval.
- Flag potential attendance concerns.
- Maintain the highest level of confidentiality.
- Maintain relationships with any staffing partners.
- Adhere to Fixing Long-Term Care Act, 2021 and the home’s policies.
- Assist with leave administration activities including completing forms, return to work schedules and modified work schedules.
- Ability to work in a fast-paced environment with changing priorities.
What We Are Looking For:
- Post-secondary diploma or certificate in office or business administration, bookkeeping or equivalent work experience managing employee time and attendance.
- Proficient in Microsoft Office 365 programs.
- Scheduling software experience required.
- Minimum 1 year experience in scheduling in healthcare.
- Bilingualism is an asset.
- Workday experience preferred.
- Staffstat experience is an asset.
- Superior level of attention to detail and accuracy of work.
- Superior customer service skills and experience.
- Strong commitment to staff and resident privacy.
- Willing and able to continually improve professional competence and knowledge.
- Tuberculosis testing within the last two years; Steps 1 & 2; or an X-Ray from the previous five years showing a clear result.
- Proof of current immunizations according to Plan A policy.
- Able to provide a complete and current (within six months) Vulnerable Sector Check (including a Criminal Background Check) or be willing to obtain one.
