About our School/Directorate/Team:

The Marketing Recruitment Admissions and Communications group is at the heart of attracting and delivering exceptional student services. The Admissions Office handles over 20,000 applications annually for undergraduate and postgraduate programmes at our Scottish campuses, as well as supporting admissions colleagues in Dubai and Malaysia. Our aim is to ensure all applicants receive high-quality, timely, and fair service, with a focus on putting the applicant at the center of our activities.

Purpose of Role:

Heriot Watt is entering an exciting phase of development, with centralised recruitment and admissions teams in Edinburgh and a new structure being developed for our Dubai Campus. Reporting to the Student Recruitment Manager, the successful candidate will coordinate and deliver activities to meet recruitment targets for UG, PG, and research degrees. This includes organizing customer-facing events and providing excellent customer service to prospective students, ensuring the university is promoted effectively. Creativity and proactive follow-up are essential to convert prospects into enrolled students.

Key Responsibilities:
  • Act as an ambassador for the university to prospective students and stakeholders.
  • Support the implementation of recruitment plans, including on-campus events, fairs, and external activities.
  • Assist in planning and executing recruitment events, bringing innovative ideas.
  • Represent the university at regional recruitment fairs, providing information and guidance.
  • Manage a calendar of recruitment events, handle enquiries, and coordinate communications to maximize attendance.
  • Operate within budgets, maintaining expenditure records.
  • Oversee the design and production of promotional materials.
  • Ensure compliance with health, safety, and environmental legislation at events.
  • Manage the student ambassador scheme to support recruitment activities.
  • Build and maintain external contacts to enhance recruitment efforts.
  • Collaborate with Marketing to produce marketing materials.
  • Provide excellent customer service, utilizing CRM systems to track engagement.
  • Engage via multiple communication channels, including social media and virtual events.
  • Respond promptly and personally to enquiries, offering tailored advice.
  • Support colleagues with admissions enquiries and maintain FAQ resources.
  • Assist in optimizing lead capture and managing recruitment events.
  • Liaise with marketing and recruitment teams to ensure consistent messaging.
  • Support during peak admissions periods and participate in marketing activities.
  • Perform other relevant duties as required.
Qualifications & Experience:
Essential
  • Strong literacy and numeracy skills or equivalent experience.
  • Experience in a multichannel customer experience environment.
  • Proficiency in MS Office (Excel, Word, Outlook).
  • Excellent interpersonal skills.
  • Experience in face-to-face customer service and event organization.
